Job description

An opportunity has arisen for a new administrator at Baddow Village surgery for a administration/receptionist to join our team on a full-time basis. The role is mainly within the admin team but may be required to cover reception when there are staff shortages. The successful applicant will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team.

Main duties of the job
  • Greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required.
  • Acting as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers
  • Maintaining and monitoring the practice appointment system
  • Following the long term conditions processes
  • Processing personal, telephone and e-requests for appointments
  • Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Signposting patients to the correct service
  • Processing incoming and outgoing mail
  • Initiating contact with and responding to, requests from patients, team members and external agencies
  • Processing all DNA letters in accordance with current policy
  • Reading code data on SystmOne
  • Photocopying documentation as required
  • Filing and storing records as required
  • Data entry of new and temporary registrations and relevant patient information as required
  • Inputting data into the patients healthcare records as necessary
  • Scanning of patient related documentation and attaching scanned documents to patients healthcare records
  • Processing requests for information i.e. SAR, insurance /solicitors letters and DVLA forms to the administrative team
  • Supporting all clinical staff with general tasks as requested

Person Specification
Experience
  • An experienced administrator, with excellent IT, time management and organisational skills.
  • Ability to communicate effectively, working in a confidential and discreet manner.
  • Ability to multi-task, work efficiently and maintain a high level of attention to detail, when under pressure.
  • Ability to work as part of a multi-disciplinary team, as well as independently.
  • Primary care experience is desirable but not essential.
