Administrator & Marketing Assistant
A leading UK-based architectural practice, renowned for designing innovative and evidence-based healthcare environments, is seeking an experienced Administrator & Marketing Assistant to join its London studio. This is a key support role focused on keeping the studio running smoothly while contributing to marketing and bid activities.
Key Responsibilities
Office Administration
- Act as the first point of contact for the London office, managing calls, messages, and general day-to-day operations.
- Oversee office maintenance, supplies, and coordination of travel and accommodation bookings.
- Manage internal administrative systems including timesheets, holiday bookings, and project setup through Rapport.
- Support project leads and accounts teams with timesheet reporting and invoicing processes.
- Coordinate recruitment processes and onboarding of new staff.
- Assist with HR-related tasks including inductions and documentation.
- Support the preparation and delivery of internal audits and accreditations (e.g. ISO9001, ISO14001).
- Manage documentation renewals (Constructionline, CHAS, RIBA, Cyber Essentials, etc.).
- Help organise social events and team activities.
Marketing & Bids
- Assist in managing the bid and tender process including compiling and submitting proposals.
- Produce and update bid documents using InDesign and Word, including CVs, project sheets, and organograms.
- Maintain and update marketing collateral and project information.
- Support the creation of newsletters and marketing campaigns in collaboration with the Office Manager and Head of Marketing.
General Responsibilities
- Follow company policies and procedures including Health & Safety and Quality Management Systems.
- Accurately record time spent on tasks using weekly timesheets.
Candidate Requirements
- Proven experience in administration, ideally within a creative, architectural, or professional services environment.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Working knowledge of Adobe InDesign or willingness to learn.
- Strong communication skills, both verbal and written.
- Ability to manage multiple priorities, work independently, and maintain discretion with confidential information.
- A proactive and collaborative approach to supporting a team-oriented environment.
