Job summary

Slaughter and May is seeking an organised and ambitious Administrator to join the Financial Regulation group on a 12-month FTC, with the potential to transfer to a permanent role.

The role is office-based, Monday to Friday, 9:30 a.m. to 5:30 p.m., reporting to the Practice Support Manager and working alongside a team of three Executive Assistants. You will perform routine administrative tasks and support meetings and events with a focus on high service levels in a busy environment.

Qualifications

  • Minimum of 5 GCSEs at grade 5/C or above, including English Language.
  • Strong proficiency with MS Office (Word, Excel, PowerPoint).
  • Excellent attention to detail and grammar; good typing speed.
  • Excellent interpersonal and communication skills; strong team player.
  • Solution-focused, collaborative, and able to adapt to new tech.
  • Strong ability to manage a varied workflow and meet deadlines.

Responsibilities

  • Amend and engross correspondence, engagement letters, documents, agendas, reports, presentations, diagrams and spreadsheets.
  • Draft simple emails and standard letters using house styles and templates.
  • Create and edit documents, agendas, reports, presentations, diagrams and spreadsheets.
  • Process expense claims (Chrome River).
  • Collect and distribute internal and external mail.
  • Book meeting rooms, restaurants and taxis and arrange refreshments.
  • Maintain up-to-date knowledge of internal/external policies and procedures.
  • Assist with events/ hospitality, including RSVPs and venue arrangements.
  • Attend team meetings and build strong working relationships.
  • Ensure compliance with quality standards and firm policies; support absences and increased workflow.

Job description

We are looking for an organised and ambitious Administrator to work as part of a team within our Financial Regulation group, initially on a 12-month FTC but with the potential to become a permanent member of the team at the end of that period.

The role is to work Monday to Friday, 9.30 a.m. to 5.30 p.m., in the office and alongside a team of 3 Executive Assistants. As with all client-led industries, a degree of flexibility is required. The role will report to the relevant Practice Support Manager (‘PSM’).

The successful candidate will play a critical role in undertaking routine administrative tasks for various members of the Financial Regulation group. This role is an excellent opportunity for someone who is keen to learn and develop in an administration role, providing exceptional service within a busy and professional environment.

Key responsibilities

The key responsibilities of this role are set out below and there may be others which are not listed. You may be required on occasion to work outside our normal working hours of 9:30am to 5:30pm.

  • Amend and engross correspondence, engagement letters, documents, agendas, reports, presentations, diagrams and spreadsheets.

  • Maintaining up-to-date knowledge in relation to internal and external policies and procedures.
  • Assisting with the organisation of events and hospitality, to include collating RSVPs, arranging restaurants/venues and any necessary equipment, attending events and supporting the preparation and distribution of name badges.
  • Attending and contributing to team meetings as required.
  • Build strong working relationships with the wider team.
  • Building strong and collaborative relationships with wider business services teams and maintaining effective and efficient use of business support services.
  • Facilitating knowledge sharing within peer group and wider team and providing team support to cover absences and during times of increased workflow.
  • Maintaining a comprehensive knowledge of, and ensuring compliance with, quality standards and the firm’s policies in general.
  • Undertaking additional ad hoc duties to support the firm as necessary.

Candidate profile

Candidates for this position must have:

  • Minimum of 5 GCSEs at Grade 5/C or above, one of which to be English Language.
  • Basic knowledge of Microsoft Office Suite (including Word, Excel and PowerPoint).
  • Excellent attention to detail and use of grammar.
  • Good typing speed, maintaining accuracy and pride in their work product.
  • Good interpersonal and communication skills and the ability to work well within a team/be a strong team-player.
  • A solution-focused attitude.
  • A collaborative and supportive approach in relation to the business and its initiatives, and a willingness to get to grips with new technology, taking the training opportunities provided by the firm.
  • The ability to manage and prioritise a varied workflow, and to remain proactive and flexible at all times.
  • The ability to anticipate and identify potential problems and escalat(e) appropriately.
  • Excellent organisational skills, with the ability to multi-task, keep calm under pressure and work to tight deadlines.
