Job summary

Waythrough is seeking an Administrator for Barnsley Recovery Steps to ensure smooth day-to-day operations and deliver essential administrative support. You may also act as receptionist, greeting clients and handling inquiries with a professional, friendly approach.

Hours are 37 per week, Monday–Friday, 9am–5pm, with occasional Thursday late shifts. This permanent role supports our mental health services and data management needs across local sites.

Qualifications

  • Clinical Administration experience desirable: generating and managing prescriptions, etc.
  • SystmOne experience desirable but not essential
  • General Administration experience in healthcare is desirable
  • Excellent organisational skills to juggle multiple tasks
  • Strong communication and data management abilities
  • Reception experience as first point of contact

Responsibilities

  • Act as first point of contact for clients and visitors and coordinate enquiries.
  • Welcome and signpost service users to staff or partners.
  • Provide initial contact via telephone and signposting to next steps.
  • Contribute to lone working system and outreach site coordination where relevant.
  • Maintain appointment systems and complete referral information.

Administrator – Barnsley Recovery Steps

Location: 5-6 Burleigh Court, Burleigh St, Barnsley S70 1XY (requirement to cover McLintocks Building S70 6BX when needed)

Working Hours: 37 hours per week - Monday-Friday 9am-5pm

Contract Type: Permanent

Salary: £25,877.80 to £28,454 per annum

About the role:

As an Administrator at Barnsley Recovery Steps your role will be instrumental in ensuring the smooth and efficient operation of our service on a day-to-day basis. This vital position ensures the smooth flow of clinical and administrative procedures, providing vital support to help us achieve our mission. You will also, when required, be the welcoming face of our service in your role as receptionist and will be a friendly and professional first point of contact. Your regular work hours are from Monday to Friday, 9:00 AM to 5:00 PM. However, there is an occasional late shift expectation on Thursdays, typically once a month which is shared with the team. Please note that there may be instances where this requirement occurs more frequently to accommodate the needs of the service.

Key duties will include the following:
  • Act as the first point of contact for clients and visitors to the service and coordinate timely responses to enquiries made via telephone, email, text and website.
  • Ensure everyone contacting the service is welcomed, supported and where appropriate signposted to service staff and/or relevant partners.
  • Provide a positive first contact for those contacting the service by telephone, utilising the service referral pathway to identify and action appropriate next steps including options such as booking an assessment appointment, accessing a duty worker or signposting.
  • Where relevant contribute to maintaining and monitoring the service lone working system within recovery centres and where applicable community delivery venues.
  • Where relevant identify, facilitate and organise use of community outreach and satellite sites for service provision.
  • Maintain electronic and manual appointment systems and complete referral information as appropriate.
  • Ensure a high standard of accuracy for data entry, using computerised recording systems and packages such as Excel, Access, Theseus and other databases within required deadlines.
  • Where relevant lead on the coordination of room bookings, including preparation of meeting/training rooms and organisation of refreshments as requested.
  • Attend meetings and take minutes when required.
  • Understand service and organisational quality standards and audit requirements, including the need to ensure information is collected and recorded in accordance with quality and audit requirements.
  • Understand and be able to work within a quality assurance system on a day-to-day basis.
  • Understand performance indicators for the service and assist with the collection and presenting of data, providing evidence that performance indicators have been met.
  • Maintain accurate, up to date records and work in accordance with organisational guidelines and procedures.
To Succeed in This Role, You’ll Need:
  • Clinical Administration experience desirable: Generating and managing prescriptions, dealing with prescription queries, and preparing correspondence for GPs.
  • SystmOne Experience: SystmOne experience is desirable but not essential
  • General Administration Experience: Previous experience in a healthcare environment is desirable. This experience will provide you with a foundational understanding of the specific needs and challenges of our service.
  • Excellent Organisational Skills: You have the ability to keep a variety of administrative tasks organised and on track. We're looking for someone who can juggle multiple responsibilities with precision.
  • Strong Communication: Clear and effective communication is key in this role. Whether you're answering inquiries, coordinating meetings, or taking minutes, you should be an adept communicator.
  • Data Management Proficiency: Experience with computerised recording systems, databases, and software like Excel.
  • Reception experience: you will be a warm, calm, and welcoming first point of contact for all clients and visitors to Barnsley Recovery Steps.
