Job summary

Reach Learning Disability is seeking an Executive Assistant to provide effective administrative support at their Head Office in Southwell. The role involves HR tasks, IT support, and general administration, requiring strong communication and organizational skills. Ideal candidates will have experience in administration and a commitment to supporting individuals with learning disabilities.

Qualifications

  • Support IT Manager with SharePoint and website maintenance.
  • Manage reception area and welcome visitors.

Executive Assistant at Reach Learning Disability

The purpose of this role is to provide an effective and efficient administration service at Reach’s Head Office in Southwell, Nottinghamshire. In this office-based role, the job holder will act as a first point of contact in the office for staff and visitors and will use their administrative and communication skills to help with the smooth day-to-day running of the Charity.

The role is not suitable for home or hybrid working.

Key Responsibilities:

HR

  • Employee and employment admin support e.g. recruitment, new employee onboarding, DBS checks, staff files, training record administration and exit processes
  • Support for staff recognition celebrations and events.

IT and Finance

  • Support IT Manager to maintain up-to-date and accurate SharePoint group membership
  • Provide support to maintain website and intranet pages
  • Support with data entry relating to volunteer management, carer administration and project evaluation records
  • Conduct data reconciliation eg Amazon orders, financial and fundraising data
  • Support to produce organisational communications eg newsletters, posters etc.

Health and Safety

  • Maintain Fire Safety documentation and document drills
  • Support to maintain a safe and healthy working environment for all.

General

  • Welcome visitors and manage the reception area
  • Enquiry management
  • General admin support to Senior Management Team, Board of Trustees and Head Office staff
  • Maintain stationery, supplies, first aid kits, washroom/kitchen stock and confidential waste
  • Meeting and visitor management
  • Practical, hands-on and admin support for events
  • Support distribution of organisational-wide communications
  • Provide administrative support for Reach’s day services learner enrolments.

Other Duties

  • Attend required training in Safeguarding, Data Protection, Health & Safety, First Aid and any other subjects identified as a requirement for the role
  • Contribute and engage in supervisions and appraisals
  • Work, always, in accordance with Reach policies and procedures
  • Keyholder.

Key Skills & Qualifications

·Experience of using Microsoft 360

·Experience implementing admin processes and systems

·Relevant qualifications such as Business and Administration NVQs or Diplomas

·Understanding of data protection

·Experience of using Canva (or similar software) to produce simple communications

·Experience of working in the voluntary sector

·Interest in developing a role in administration

·Interest in developing a career in the voluntary sector.
