Job description

AJ Chambers are working with a top Law Firm in the West End of London assisting them whilst they are searching for an Admin Assistant to support the dynamic Litigation Team.

This role is key to ensuring the smooth day-to-day operation of the team, providing comprehensive administrative and organisational support. The successful candidate will be a detail-oriented professional with a can-do attitude and strong communication skills.

Key Responsibilities

  • Diary Management: Coordinate and manage calendars for litigation team members, including scheduling meetings, court dates, and appointments.
  • File Opening: Handle the initiation of new client files, ensuring all necessary documentation and compliance requirements are met.
  • Bundling: Prepare and manage legal bundles for court and other proceedings in accordance with legal protocols and timelines.
  • Drafting CC Letters: Draft clear and professional covering and correspondence letters for case-related communication.
  • General Onboarding: Assist with the onboarding process for new clients and team members, including systems access and introductory documentation.
  • Invoicing and Accounts Management: Liaise with the finance department to ensure accurate billing, process invoices, and maintain account records.
  • Organising Teams Calls: Schedule and coordinate Microsoft Teams meetings, ensuring participants have access to all necessary documentation and links.
  • General Ad-hoc Duties: Provide flexible support to the litigation team as required, including document formatting, printing, scanning, filing, and other administrative tasks.

Requirements

  • Proven experience in a similar administrative role, ideally within a legal or professional services environment.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Ability to manage confidential information with discretion.
  • Ideally have previous experience supporting a litigation team.
  • Familiarity with case management and billing systems
