A leading clinical research unit seeks an Admin. Assistant to provide essential administrative support to their Clinical Pharmacology Services team. This full-time position, based in Leeds, involves processing invoices and payments, maintaining files, and assisting in scheduling activities. Just a short 7-minute walk from the train station, this 65,000 ft², 100-bed facility is a cornerstone of our global operations. Dedicated to Early Clinical Research, it’s where life-saving medicines begin their journey.

And this is where you come in because we are expanding and now seeking our new Admin. Assistant:

  • Full-time, clinic-based job in Drapers Yard, Leeds.
  • 37 hours per week, Monday to Friday.

WHO YOU ARE

  • Proven experience in providing administrative support in an international environment, including invoice processing, payments, and archiving.
  • Required: advanced proficiency with Microsoft Office programs (Word, Excel, Teams, Outlook, etc.)
  • Educated to GCSE level.
  • Ability to live and work in the UK (we cannot sponsor for this role).
  • Ability to work in a fast-paced setting with many interruptions. Flexibility, anticipation, and advanced organizational skills are key for adjusting to changing daily priorities.
  • Able to maintain confidentiality and establish secure filing procedures.

ON A NORMAL DAY, YOU WILL...

Provide broad and varied administrative support to the Clinical Pharmacology Services team, including:

  • Processing invoices in our financial system.
  • Processing payments for the clinical trial participants.
  • Supporting the Global Vendor Management Team with local specific vendors (i.e., tracking contracts, overseeing payments, etc.).
  • Maintaining departmental files (training files, client contract files, project files...).
  • Archiving and maintenance of complex and confidential documentation in content management platforms (e.g., CTMS, Veeva Vault, etc.).
  • Taking meeting minutes.
  • Assisting with department’s efforts on scheduling activities including client visits, travel arrangements, scheduling meetings, maintaining calendars, agendas, etc.
  • Cross-functional communication with all the Clinic teams and vendors.
