Legal Administrative Assistant

We are seeking an organized and proactive Legal Administrative Assistant to support our legal team. This role is well suited to someone who takes pride in producing accurate work, managing competing priorities and handling sensitive information with discretion. You will provide day-to-day administrative support to legal professionals, coordinate documents and meetings, maintain reliable records and help the team operate efficiently. The successful candidate will be comfortable working independently while collaborating closely with colleagues across the business. You will bring sound judgement, strong attention to detail and a practical approach to solving administrative challenges in a fast-paced professional environment.

What will your responsibilities be?

  • Provide high-quality administrative support to the legal team, including diary management, meeting coordination, travel arrangements and preparation of agendas and materials.
  • Draft, format, proofread and finalise correspondence, contracts, reports, and presentations.
  • Coordinate document execution, including circulating documents for review and signature, monitoring completion and maintaining accurate final records.
  • Support invoice processing, expense administration and purchase orders.
  • Assist with regulatory filing or compliance-related administration, as required, and monitor relevant deadlines.
  • Liaise professionally with internal stakeholders, external counsel, service providers and other third parties while maintaining confidentiality at all times.

About you

  • Excellent written and verbal communication skills, with strong proofreading, grammar and document-formatting capability.
  • Highly organised and dependable, with the ability to prioritise multiple tasks, manage deadlines and follow through on details.
  • Proficiency in Microsoft 365, particularly Word, Outlook, PowerPoint and Excel; experience with document-management or e-signature systems is advantageous.
  • Sound judgement and a clear understanding of the importance of discretion, confidentiality and accurate record-keeping.
  • A collaborative, adaptable and solutions-focused approach, with the confidence to work autonomously and seek guidance when appropriate.
