Job summary

Bupa Mindplace in Birmingham is seeking an Administrative Assistant to join our team. You will manage front-desk duties, handle customer inquiries, process documents, and support office administration in a busy health-centre environment.

The role requires strong communication, organizational skills, and the ability to work Monday to Friday on a 37.5-hour contract. Salary is £27,900 per annum with excellent benefits and a supportive team at Mindplace Edgbaston.

Qualifications

  • Excellent communication skills are essential for interactions with customers and colleagues.
  • Friendly, proactive and able to deliver outstanding customer service.
  • Experience in administrative and reception tasks is required.
  • Well organised, reliable and self-driven with a proactive attitude.
  • Computer literacy and basic software competence are needed.
  • Knowledge of medical terminology is desirable.

Responsibilities

  • Greet and welcome customers and assist through the centre journey to checkout.
  • Answer, screen and forward incoming queries by phone and email.
  • Maintain a well-presented reception and waiting area.
  • Ensure reports are dispatched within the required time frame, manage abnormal results.
  • Prepare appointment packs, clinical files and consent forms when needed.
  • Manage results, upload documents, and liaise with suppliers to meet SLA.
  • Verify customer details, book and reschedule appointments and handle payments.
  • Organise documents by date order to meet deadlines, and handle post processing.
  • Monitor stocks and order goods; process invoices and delivery notes as per policy.
  • Contribute to a well-presented facilities through proactive escalation as required.

Contract: Permanent. Full time, 37.5 hours.

You’ll Help Us Make Health Happen By
  • Greeting and welcoming customers in addition to supporting the customer journey throughout the centre right through to a thorough checkout
  • Answering, screening and forwarding incoming customer queries via phone calls and proactively managing local mailbox and emails
  • Proactive in maintaining a well-presented reception and waiting areas
  • Ensuring customer reports are dispatched from centres within the desired time frame. This includes effective management of abnormal results
  • Ensure all customers have the correct paperwork to support their visit – appointment packs (where applicable), clinical file preparation and consent forms
  • Effective results management (including receiving, scanning, and uploading) and follow-up of suppliers to ensure turnaround within the agreed SLA
  • Ensure all customer details are correct, customers have arrived, appointments booked, changed, and rescheduled on EXACT/BOSS/Meddbase. Process of payments, invoices, added charges and credit notes upon customer departure
  • Organise self to ensure a quick turnaround of documents, working in date order and prioritising to meet deadlines
  • Post – collect, open, date stamp, distribute incoming post, and post outgoing post.
  • Generate letters as required by the business.
  • Monitor stocks and order goods when required.
  • Process invoices/delivery notes as per Bupa policy
  • Play an active part in ensuring well-presented facilities through pro-activity and effective escalation as and when required.
