Job summary

Oxford Health NHS Foundation Trust is seeking a highly motivated administrator to join the Single Point of Access service in Oxfordshire. The role supports the health care professional phone line and coordinates day‑to‑day administration across two bases, Banbury and Abingdon.

You will have line manager support, training, and opportunities for development within a busy, patient‑focused environment. Excellent organisational and communication skills are essential.

Qualifications

  • Experience using Excel, Word and Outlook; familiarity with Electronic Patient Record systems.

Job description

An exciting opportunity has arisen for a highly motivated and experienced administrator to join the Single Point of Access service in Oxfordshire. The Single Point of Access is a telephone triage service which provides a quick and easy way for members of the public, GPs, and other healthcare professionals to make referrals to community health services such as community nursing, community therapy and other community services for people over the ages of 18 and living in Oxfordshire. SPA team is made up of experienced administrators and clinicians who work closely together. When you start, you'll have line manager and peer support as well as training and other resources to support you do your work effectively. SPA is spread over two bases, Banbury, and Abingdon, operating 8am-8pm, 365 day a year on a shift pattern basis. Shift patterns are 08:00-16:00, 10:30-18:30 and 12:00-20:00. The main duties of the role are to manage and coordinate the day to day administration work load and answer the health care professional phone line.

You will work as part of a close-knit team to ensure the patients receive the best possible service. The workload can be busy and changeable, so a can-do attitude and an adaptable approach is required. Ideally you will be able to work from either sites to cover two other team members in the same role.

  • Previous experience in an administrative role.
  • Ability to minute meetings.
  • Organisational skills/managing diary systems and tracking information.
  • Experience of managing information on a database
  • experience of using computer programs including Excel, Word, and Outlook. Working knowledge of Electronic Patient Record system.
  • Experience in office management and supervisory/management role for staff.
  • Experience of arranging and conducting interviews and of inducting new staff.
  • An understanding of information governance.
  • Data analysis and interpretation skills. Knowledge of project management or information analysis. Excellent and calm telephone manner.
  • Patient focused approach.
  • Understanding of the need for confidentiality, Calm under pressure, GCSEs or equivalent.
  • Excellent verbal and written English skills.
  • Excellent attention to detail, Higher Education qualification (i.e., 'A' Level/NVQ III standard) or equivalent.
  • IT Skills to RSA3/NVQ Level 3, or equivalent experience.
