To provide comprehensive and confidential administrative and clerical activities to meet the needs of the service in accordance with Departmental, Trust, and National standards, policies, and procedures. To effectively communicate related information and advice to enable the multidisciplinary team to achieve operational excellence.

Main duties of the job
  1. Welcome, receive, and greet all visitors to the area, providing the first point of contact for all service users, resolving routine enquiries and complaints professionally in accordance with local standards and procedures, and referring other queries to relevant colleagues where appropriate.
  2. Collate information generated by others to maintain computerised information systems, ensuring data is accurately recorded and updated as required. Provide accurate data as requested by other members of the multidisciplinary team.
  3. Act as the first point of contact for routine enquiries and take necessary action, liaising with others as appropriate.
  4. Communicate with staff, patients, and external organizations using appropriate methods.
  5. Maintain manual and electronic filing systems and databases, ensuring all documents are accurately and appropriately archived according to department and Trust policies.

Job description
  • Maintain an efficient administrative service, including photocopying and supporting departments and team members as needed.
  • Utilize relevant Trust IT systems to ensure accurate collection and input of patient data following Trust guidelines.
  • Assist in collating, inputting, and monitoring department documentation to support monthly reporting.
  • Disseminate relevant information to departments and external/internal users, including minutes and memos.
  • Support training of new team members in Trust systems and procedures.
  • Manage incoming and outgoing post, ensuring proper distribution and action.
  • Prioritize daily tasks to meet deadlines.
  • Provide cover in the absence of team members when required.
  • Contribute to patient and business improvement initiatives, sharing ideas for service enhancement.
