Job summary

Mid Yorkshire Teaching NHS Trust in Wakefield is seeking a clerical assistant to support the Tissue Viability team. The role involves handling patient records, data entry, appointment booking, and maintaining trust IT systems.

You will work as part of a busy team providing patient-focused administration, responding to enquiries, and liaising with staff and external agencies. A good general education and IT/comms skills are essential, with a commitment to accuracy and confidentiality.

Qualifications

  • Good general education to include GCSE in English Language and Maths or equivalent/experience
  • Experience with filing systems and IT systems
  • Excellent customer or patient care
  • Ability to work as part of a tissue viability admin team

Responsibilities

  • Provide clerical assistance to the Tissue Viability team
  • Respond to telephone or face-to-face enquiries with staff, patients and service users
  • Confidential management of patient records and timely dispatch of documents
  • Book appointments for patients on the Tissue Viability system one calendar
  • Input data into departmental/databases to monitor department objectives
  • Organise own workload and support colleagues as required
  • General administration duties and liaison with outside suppliers

About The Role

  • Ability to work as an integral part of the tissue viability team providing clerical assistance to the whole team
  • Promote effective customer focused communication by responding to telephone or face to face communication with staff, patients and service users complying with departmental guidance
  • To assist with the confidential management of all types of patient record and ensure that all documentation is returned to the appropriate department is accurately complete and promptly dispatched
  • To be able to book appointments for patients on to the Tissue Viability teams system one calendar
  • Operate trust IT systems ensuring correct data is held on the departmental database & Trust systems and update as necessary as well as being able to input data into various databases to help monitor the Tissue Viability team and Trusts objectives
  • The post holder will give relevant assistance as and when required to support all colleagues
  • To carry out general administration duties and provide clerical assistance, as required
  • To liaise with outside suppliers and other agencies as required

Main duties
  • To understand the Tissue Viability service and have an understanding of the systems and processes involved in providing this service
  • The post holder will be responsible for designated clerical duties in the department
  • Play a lead role with administrative tasks in the department e.g. utilising IT systems in line with the departments Key Performance Indicators
  • Promote effective customer focused communication with patients and service users.
  • To respond to telephone and / or face to face enquiries complying with departmental guidance
  • To assist with the confidential management of all types of patient record and ensure that all documentation is returned to the appropriate department is accurately complete and promptly dispatched
  • To be responsible for the accurate and timely storing/scanning of records, e.g., referral letters
  • To report maintenance and domestic repairs to appropriate wards/departments on instruction from the departmental manager.
  • To be able to organise own workload.
  • To be able to book appointments for patients on to the Tissue Viability teams system one calendar.
