Job Summary

As Accounts Assistant, you will work within the busy Finance team, delivering an efficient service to the business.

You will be responsible for handling day to day queries and involved in a wide range of tasks including processing invoices, dealing with supplier and colleague queries and conducting detailed reconciliations using systems including Sage 200 and Monday.com.

Working in Finance involves engaging with a range of people and dealing with situations and issues as they arise; an approachable manner and a good understanding of customer service and workplace culture are all essential attributes for this role, as are excellent general communication skills. You will need to be highly organised and able to work flexibly to meet competing demands, whilst maintaining excellent attention to detail.

A willingness to demonstrate initiative and learn new skills will also be essential, as will the ability to work as part of a team.

Administration

  • Provide administrative support for all Finance matters, working with a high degree of accuracy and within agreed timescales.
  • Maintain accurate and detailed supplier records, creating new supplier accounts in Sage 200.
  • Manage all incoming creditor emails.
  • Support the Financial Controller and wider team by undertaking any other duties necessary for the effective operation of the department.

Accounts Payable

  • Provide first line response to all telephone/email queries with suppliers, giving basic advice on payments dates and invoice status.
  • Monitor the Accounts Payable mailbox, ensuring that all invoices are uploaded onto the Supplier Invoice Library and handled in a timely manner, escalating to the relevant team member where appropriate.
  • Process high volumes of purchase invoices, accurately and in accordance with company policy, escalating any queries to the relevant internal team where appropriate.
  • Work closely with other departments to resolve invoice and payment-related queries.
  • Assist with the monthly statement reconciliation process.

Reporting

  • Assist with the set up and production of various P&L reports on a monthly basis, including those for both projects and overhead analysis.
  • Assist with the monthly reporting and review of open purchase invoices on the finance system.
  • Ensure adherence to company policies and financial controls.

Qualifications

  • Minimum five A*-C (4-9) GCSE's or equivalent, including Maths or English.
  • Three A levels at grades A*-C (or 240 UCAS points or new tariff equivalent).

Experience

  • Relevant practical experience in a similar role, with exposure to project finances.
  • Proven numerical and analytical skills.
  • Sound Microsoft Excel skills.
