Job summary

GBS (Global Banking School) is hiring an Academic Quality Administrator to support the Academic Standards and Quality Office. The role focuses on maintaining high academic standards, improving student outcomes and continuing accreditation readiness across ASQO processes.

You will collaborate with faculties, Registry and the Provost Office, coordinating meetings, managing records, and handling sensitive academic misconduct and appeals documentation in an on-site environment at East London or

Qualifications

  • Ability to plan, prioritise and work independently to deadlines
  • Willing to travel to other GBS campuses when required
  • Desirable knowledge of QA processes in higher education

  • Proactive approach to improving QA processes

Responsibilities

  • Coordinate the operational delivery and administration of ASQO processes, ensuring compliance with GBS regulations and service standards
  • Liaise with faculties and awarding bodies to monitor action plans from ASQO processes and policies
  • Manage and monitor email inboxes, escalating complex or urgent matters
  • Provide information, advice and support to faculties as a point of contact
  • Coordinate and administer meetings, schedule, issue invitations, take minutes and record outcomes
  • Draft and issue formal correspondence for Academic Misconduct and Appeals cases
  • Maintain accurate ASQO records and ensure data is complete and auditable
  • Liaise with senior stakeholders within and outside GBS UK
  • Assist the wider ASQO team with administrative queries related to quality assurance
  • Monitor case progression and follow up actions to meet policy deadlines
  • Contribute to continuous improvement of ASQO processes and guidance

Working Pattern: Full-Time, 40hrs per week

Salary Range: £30,000-£33,000pa

What We Do: Developing and writing quality reports both internally for GBS and for GBS partner organisations and other external agencies. To contribute to preparations for degree awarding powers.

About the Role: Your work in the Academic Quality department plays a vital part in maintaining and enhancing the quality of the academic experience across GBS. Your work will support high standards, continuous improvement, and positive outcomes for students at every stage of their studies. The Academic Quality Administrator is responsible for undertaking key academic quality administration activities in the Academic Standards and Quality Office (ASQO) that improves the student experience and outcomes at GBS. Typically, balancing the requirements of faculties and ASQO ensuring compliance with GBS and awarding body procedures, processes and systems. As well as, working collaboratively with other GBS departments including Registry, the Provost Office, etc to support the delivery of ASQO objectives and initiatives and maintaining relationships with our awarding bodies. This role offers the opportunity to make a tangible difference in shaping the academic journey of thousands of students across the UK and beyond.

Key Responsibilities
  • Coordinate the operational delivery and administration of ASQO processes, ensuring compliance with GBS regulations, policies, procedures and agreed service standards.
  • Liaise with faculties and awarding bodies to monitor action plans arising from ASQO processes and policies.
  • Manage and monitor email inbox(es), ensuring enquiries are responded to promptly, escalating complex or urgent matters where appropriate.
  • Provide information, advice and support to faculties, acting as a point of contact for any queries and escalating where necessary
  • Coordinate and administer meetings, including scheduling, liaising with students and staff, issuing invitations, preparing documentation, taking minutes and recording outcomes and actions.
  • Draft and issue formal correspondence, including meeting invitations, outcome letters, reports, notifications and other documentation associated with Academic Misconduct and Appeals cases.
  • Maintain accurate records and other ASQO systems, ensuring information is complete, current and auditable.
  • Provide information, advice and support to faculties, acting as a point of contact for any queries and escalating where necessary
  • Liaise effectively with senior stakeholders both within and outside of GBS UK.
  • Assist the wider ASQO team with any administrative queries relating to quality assurance and enhancement
  • Monitor case progression and proactively follow up outstanding actions to ensure compliance with policy deadlines and service standards.
  • Contribute to the continuous improvement of ASQO processes, systems, guidance, policies and procedures by identifying opportunities to enhance efficiency and service delivery.
What We’re Looking For:
  • Proven experience of working in a customer focused support or service environment
  • Experience of working in a professional academic support team, in higher education academic support service or other relevant administrative setting
  • Excellent communication and interpersonal skills to work with staff at all levels, including senior colleagues at GBS and at partner institutions
  • Proven experience of using initiative, managing multiple priorities and working within a busy service environment
  • Ability to interpret and present policies to a variety of audiences
  • Ability to compile, analyse and evaluate qualitative and quantitative data to incorporate into reports
  • Ability to work under own initiative to plan, prioritise and organise own workload, including working to tight deadlines with limited supervision
  • Willing to travel to other GBS campuses, on occasion when required.
Desirable
  • Knowledge and understanding of administrative processes in higher education (particularly around quality assurance)
  • Experience of dealing with external awarding bodies and collaborative partnerships
  • Proven ability to proactively identify ways to improve QA processes and ways of working.
