Job Summary

The Sales Operations Specialist will support the sales team by ensuring that sales processes, data, and reporting are accurate and efficient. This is a hands‑on role focused on CRM administration, quote and order processing, contract tracking, and providing timely insights for leadership. Key Responsibilities
CRM & Data Management
  • Ensure data accuracy for leads, opportunities, accounts, and contacts.
  • Regularly audit and update sales records to ensure pipeline data is current and reliable.
  • Ensure the sales forecast’s input is up to date.
  • Maintain and optimize the CRM system.
  • Support onboarding of new sales team members into CRM and related tool.
  • Drive adoption of CRM best practices across the sales team.
  • Validate data in ERP system and report any issues immediately.
Reporting & Analytics
  • Prepare weekly pipeline, orders, and analysis reports for the sales team and leadership.
  • Assist in building dashboards and tracking KPIs such as renewal rates and conversion metrics.
  • Provide ad‑hoc data analysis to support sales strategy decisions.
  • Support budgeting, forecasting, and financial reporting activities.
Sales Process & Enablement
  • Provide suggestions and create SOPs throughout the sales process from leads to closed deal.
  • Organize weekly, monthly and quarterly sales meetings to keep track of sales progress.
  • Maintain a library of sales collateral and create materials to assist with onboarding / training for new / existing sales team members on process and tools.
  • Ensure compliance with company policies, procedures, and SOPs.
  • Ensure proper sales documentation in company’s system.
  • Perform other duties as assigned by management.
Qualifications
  • Bachelor’s degree in Business or related field (or equivalent experience).
  • 5 years of experience in sales operations, order management, or business operations (experience in technology or SaaS industry is a plus), ideally in a multinational company.
  • Proficiency with CRM platforms (e.g. Salesforce, HubSpot).
  • Experience in ERP system (e.g. SAP, NetSuite).
  • Excellent communication and presentation skills and ability to work collaboratively across Sales, Finance, and Operation teams.
  • Strong Excel skills for reporting and data analysis.
  • Highly organized, detail‑oriented, and proactive in tracking sales progress.
  • Ability to work independently as well as collaboratively within a team.
  • Exceptional problem‑solving skills and ability to manage multiple priorities.
  • Ability to work under high pressure and in fast pace.
  • Bilingual in English and Chinese, and additional language is a plus.
