EX NIHILO Paris is seeking a Sales Administration professional to manage order processing, deliveries, and cross‑functional collaboration across France and Germany. You will work closely with Sales, Production, and Supply teams to ensure product availability and reliable service.

Fluent English, French and German are required. The role involves coordinating with logistics providers and supporting customer relations in a fast‑paced luxury cosmetics environment in Paris.

Qualifications

• Higher education in international business, supply chain, logistics or equivalent.
• 2–3 years’ experience in international sales administration in luxury/beauty/cosmetics are ideal.
• Fluent English, French and German are required, both written and spoken.

Responsabilités

• Sales administration management for Germany and France, including order follow-up and delivery coordination.
• Coordinate with German retailers and French teams to ensure smooth operations.
• Communicate daily with the logistics provider and support sampling needs across markets.
• Assist Sales teams and maintain high service quality; contribute to process improvements.

YOUR MISSION

Reporting to the Supply Department and to the Sales Administration & Logistics Manager, the role is responsible for the operational management of sales administration across its markets.

The person works closely with the Sales, Production and Supply teams, and actively contributes to operational reliability, customer service quality and process structuring.

KEY RESPONSIBILITIES

Main responsibilities

• Sales administration management for the German and French markets, including order follow-up, delivery coordination and communication with internal and external teams.
• Close communication with German retailers and French teams.
• Daily communication with the logistics provider.
• Coordination and follow-up of sampling needs for Germany and France, in close collaboration with Production to ensure product availability.
• Support to the Sales teams and contribution to customer relations to ensure a high level of service.
• Contribution to the continuous improvement of sales administration processes, in coordination with the Supply and Logistics teams.
• Cross-functional sales administration support for other regions.

Objectives of the role

• Ensure smooth, reliable and structured order processing.
• Guarantee a high level of customer service across the assigned markets.
• Contribute to stock and flow visibility and optimization.
• Actively participate in the structuring and professionalization of the sales administration function.

What profile are we looking for?

PROFILE

• Higher education degree in international business, supply chain, logistics or equivalent.
• 2/3 years’ experience in international sales administration, ideally within the luxury, beauty or cosmetics sectors.
• Fluent English, French and German required, both written and spoken.
• Excellent organizational skills and ability to manage multiple priorities simultaneously.
• Strong sense of customer service and quality of execution.
• Rigor, autonomy and team spirit.

TOOLS

• Good command of IT tools and ERP systems, ideally Odoo.
