Ensuring compliant, secure, and accessible management of records in digital platforms

Position Overview

We are seeking a Records Management Specialist to lead and support the design, implementation, and maintenance of digital records management systems, with a strong focus on tools such as OpenText, SharePoint, or other enterprise content platforms. The role ensures that records lifecycle practices from creation and classification to retention and disposal are aligned with legal, regulatory, and operational standards.

You will work across teams to ensure digital continuity, metadata integrity, and compliance with records governance frameworks.

Key Responsibilities

Digital Records Governance

  • Develop and enforce records management policies, procedures, and classification schemes in line with applicable standards (e.g., ISO 15489, MoReq, DoD 5015.2)
  • Maintain consistent metadata practices and records taxonomy across departments and systems
  • Apply retention and disposition schedules within enterprise content management (ECM) platforms

System Administration & Integration

  • Manage and configure records management tools (e.g., OpenText Content Suite, Documentum, SharePoint Records Center)
  • Support migrations from legacy records systems to cloud-based or hybrid platforms
  • Work with IT and security teams to ensure role-based access control and data protection

Compliance & Risk Management

  • Monitor compliance with regulatory and organizational policies for records handling (e.g., GDPR, FOIA, national archives mandates)
  • Conduct audits and assessments to identify gaps or risks in records practices
  • Respond to legal holds, eDiscovery requests, and information access queries in collaboration with legal teams

Training & Change Management

  • Develop training and guidance materials for staff on best practices for records classification, retention, and disposal
  • Promote a culture of good digital hygiene and records accountability across teams
  • Lead or support change management initiatives related to digital transformation of records workflows
Required Qualifications

Experience & Knowledge

  • 6+ years of experience in records management, digital archives, or content lifecycle governance
  • Hands‑on experience with OpenText, SharePoint, or similar ECM/records platforms
  • Solid understanding of legal and regulatory frameworks for records and information governance
  • Familiarity with classification systems, metadata standards, and retention schedules

Technical & Analytical Skills

  • Ability to translate policy into platform configuration (e.g., automated retention rules, folder structures, audit logs)
  • Proficiency in managing access, security permissions, and compliance workflows
  • Experience with information audits, quality control, or remediation efforts
Preferred Qualifications
  • Certification in Records Management (e.g., CRM, IGP, CIP)
  • Degree in Library Science, Information Management, Archival Studies, or a related field
  • Familiarity with digital preservation strategies and standards (e.g., OAIS, PREMIS)
  • Experience working in government, international organizations, or compliance-driven industries
  • Exposure to tools for eDiscovery, legal holds, or data loss prevention (DLP)
