The Role – What You’ll Do

As our Receptionist, you will be the central point of contact for all visitors, staff, and executive guests. Your day‑to‑day responsibilities will require precision, discretion, and an ability to remain composed under pressure.

  • Manage all front‑of‑house operations with executive‑level professionalism
  • Welcome and coordinate visits for board members, enterprise clients, and international guests
  • Ensure flawless coordination of meeting rooms, schedules, and digital booking systems
  • Handle multi‑channel communication: phone, email, visitor management platform, and internal chat
  • Provide discreet support for sensitive or confidential matters involving leadership
  • Maintain a polished and organized reception area reflecting Bizzdesign’s brand
  • Partner with HR, Facilities, and Executive Assistants to ensure operational continuity
  • Support logistics for events, workshops, onsite leadership meetings, and global team visits
  • Oversee mail handling, courier coordination, and inbound / outbound documentation tracking
  • Identify and implement processes that improve visitor experience and operational efficiency

Required Experience and Capabilities
  • 5+ years in a front‑office, executive receptionist, concierge, or corporate hospitality role
  • Experience supporting senior executives or working in environments with strict confidentiality
  • Fluent in English, Dutch, German and French.
  • Mastery of professional communication—verbal, written, and interpersonal
  • Confident with visitor systems, digital booking / e‑calendar platforms, and Microsoft Office
  • Strong organizational discipline and ability to manage multiple tasks simultaneously
  • High cultural awareness and comfort interacting with international guests
  • Impeccable presentation, professionalism, timekeeping, and reliability
  • Ability to remain calm and solution‑oriented in high‑pressure or unexpected situations
  • Strong customer‑obsession and commitment to delivering exceptional service
