Overview
The Operations Manager supports the Operations Director in overseeing day-to-day operations and project coordination across the Paris office. This role ensures that project timelines, procurement logistics, client communications, and financial processes are effectively managed. The position also provides direct assistance to the Creative Director in managing executive schedules, events, and branding initiatives.
Operational Responsibilities
- Paris Office Management
- Manage daily operations and general upkeep of the Paris office
- Set up and manage software accounts for team members
- Coordinate team travel and related logistics
- Handle expense reports and support onboarding of new team members
- Bookkeeping & Financial Support
- Code invoices and receipts to prepare for accounting submission
- Assist with budgeting updates and account management file updates
- Procurement & Supplies
- Order materials, supplies, and equipment for office or project needs
Project & Client Coordination
- Client Logistics & Communication
- Coordinate with clients to communicate delivery schedules
- Manage logistics for timely and accurate fulfillment
- Procurement Logistics
- Obtain quotes and oversee customs clearance processes
- Organize transportation, storage, and final delivery of goods
- Installation & Post-Installation Management
- Coordinate installations with the design team project lead
- Manage follow-up on returns, defects, and exchanges
- Project Timeline & Design Team Liaison
- Track project schedules to ensure deadlines are met
- Act as a liaison with design project leaders to synchronize deliverables
Creative Director & Brand Support
- Scheduling & Appointments
- Arrange meetings, travel, and appointments for the Creative Director
- Plan schedules while the Creative Director and President are in Europe
- Executive Support
- Organize travel and entertainment for the President as needed
- Manage and maintain the President’s schedule
- Proactively provide information and updates to executives and team leads
- Event & Activity Coordination
- Schedule internal and external events, programs, and team activities
- Oversee logistics for public or brand-facing initiatives
- Marketing & Branding Support
- Support the Creative Director in managing and tracking branding and marketing projects
Qualifications
- Strong written and verbal communication skills in both French and English
- Excellent time management skills
- 4+ years of experience in a similar role in a design related industry (interior design and / or architecture)
- Bachelor or Associate degree in art, design or a related field
- Knowledge of FF&E selection (materials, finishes, detailing, and scheduling), methods, and the tools involved in the construction or repair of houses, buildings, products or other structures a plus
