N-25-12 Finance and Administration Analyst

The International Potato Center (CIP) is seeking a dedicated and motivated Finance and Administration Analyst for our hosted organization, CIFOR-ICRAF in the region.

About CIFOR-ICRAF: More than a research institute—it is a hub of the brightest minds working together to develop nature-based solutions for forested and tree-based landscapes. We collaborate with governments, academia, civil society, and the private sector to address five major global challenges: deforestation and biodiversity loss, the climate crisis, the transformation of unsustainable food systems, unsustainable value and supply chains, and extreme inequality.

About the role: The selected candidate for this position will provide administrative and operational support to CIFOR-ICRAF operations in Latin America, including making payments to suppliers, purchasing processes, and logistics coordination of trips and field activities, as well as supporting daily office undertakings.

Key responsibilities
  • Support the finance and administration manager in the timely delivery of monthly financial reports, including providing assistance for the system entry of and registration of cash management, impress returns, consultancy contracts, staff requisitions, and any other financial related reports as per financial reporting guidelines.
  • Prepare in coordination with CIP HR local consultancy contracts and follow up the accomplishment to the schedules and timely payments.
  • Prepare international consultancy recruitment forms, in coordination with the supervisor, budget holder and Finance team to ensure the accordance available funds.
  • Coordinate with CIFOR-ICRAF IT the creation of corporate email accounts for new staff, and the assignment of electronic devices.
  • Oversee CIFOR-ICRAF office equipment and publications inventory; ensure that requisition of office supplies is done on time; monitor office and field equipment use.
  • Provide logistical and administrative support to national and international staff, visiting scientists and consultants, including handling the office calendar, meetings, events and facilitating travel support.
  • Support with national and international travel requests (event registration, lodging, airfares, travel itineraries, visa requests, meetings coordination, advance of funds and expenses claims).
  • Support the organization of events or workshops (invitations, booking, catering services etc.).
  • Maintain and update regional database of addresses and contact information for partners and recipients of CIFOR-ICRAF information;Prepare internal/external communications and correspondence on request.
  • Manage and monitor incoming communications (including e-mails, memos, letters, etc.) and follow up on pending tasks.
  • Comply with applicable health and safety CIP and CIFOR-ICRAF policies and procedures.
Requirements

What are we looking for?

  • Bachelor’s degree in business administration, economics, accounting, or associated field.
  • Minimum 2 years demonstrated professional experience in similar positions, especially in international organizations or NGOs.
  • Knowledge and experience working with ERP-Unit 4 Business World – Agresso System (desirable).
  • Ability to deal effectively with complex situations and demands, with internal and external contacts at all levels.
  • Ability to organize, coordinate, plan, prioritize, schedule, and handle multiple work activities and demands in an effective and satisfactory manner.
  • Strong verbal and written communication skills.
  • Excellent technology skills, with proficiency in Word, Outlook, Excel, and PowerPoint.
  • Proactivity to anticipate and take on new tasks as necessary, particularly when dealing with virtual work environments.
  • Proven ability to work in a multicultural environment while carrying out multiple tasks on a daily basis with a positive attitude.
  • Excellent English writing and verbal communication skills.
