Job Description
As part of the activities supporting the ITER Project, we are looking for an Integrated Management Coordinator to provide operational support and coordinate administrative, logistical, site security, safety and infrastructure management activities. Acting as a key coordination point between project teams and various service providers, the Integrated Management Coordinator will ensure the smooth operation of the support activities required for the successful execution of operations on the site. The position involves daily interaction with French, Chinese and international teams, as well as various service providers and stakeholders at the ITER site.

Main Responsibilities
- Site Access Management and Security
- Manage requests for badges and access authorizations to the ITER site.
- Prepare, submit and monitor the administrative documentation required for employee and contractor access.
- Monitor badge renewals, modifications and returns.
- Coordinate activities related to site security and safety requirements.
- Participate in the monitoring of site security and safety plans and related actions.
- Ensure that relevant information is communicated to the appropriate teams in compliance with applicable procedures.
- Ensure compliance with access rules and confidentiality requirements.
- Logistics, Fleet and Travel Management
- Organize and coordinate vehicle fleet management.
- Manage the administrative follow-up of vehicles, equipment and logistical resources.
- Coordinate business travel arrangements according to project requirements.
- Monitor transportation bookings, assignments and availability.
- Identify logistical requirements and propose appropriate solutions.
- Monitor incidents and issues related to the vehicle fleet and business travel.
- Risk Prevention and Corrective Actions
- Participate in risk prevention activities within the assigned scope.
- Monitor corrective and preventive actions.
- Maintain up-to-date tracking tables and related records.
- Coordinate actions with the relevant teams to ensure timely completion.
- Contribute to the continuous improvement of operational management processes.
- Procurement, Equipment and General Services
- Identify and consolidate requirements for equipment and supplies needed for project activities.
- Participate in the preparation and monitoring of purchase requests.
- Monitor orders, deliveries and receipts.
- Manage equipment related to security, general services and office operations.
- Participate in the monitoring of service contracts and related activities.
- Ensure the administrative and documentary traceability of purchases and equipment.
- Office and Infrastructure Management
- Coordinate activities related to the offices, facilities and infrastructure of CNPE EU.
- Monitor the maintenance of buildings, equipment and facilities.
- Identify intervention requirements and coordinate activities with technical teams.
- Organize and monitor preventive and corrective maintenance activities.
- Check the proper completion of interventions and ensure full traceability.
- Ensure the proper functioning of workspaces and facilities required by project teams.
- Service Provider and Subcontractor Management
- Coordinate activities performed by service providers and subcontractors.
- Organize and monitor maintenance and general services activities.
- Monitor compliance with contractual commitments and intervention deadlines.
- Follow up on completed services and identify any deviations.
- Participate in coordination meetings with service providers.
- Escalate difficulties and propose appropriate corrective actions.
- Reporting and Activity Monitoring
- Prepare monthly activity reports.
- Update dashboards and performance indicators.
- Monitor requests, actions, incidents and interventions.
- Produce activity summaries to highlight progress and identify key issues requiring attention.
- Ensure the quality, reliability and traceability of reported information.
- Participate in follow-up meetings and present the status of ongoing activities.
- International Coordination
- Act as a daily interface between French, Chinese and international teams.
- Facilitate communication between employees, project teams and service providers.
- Support teams with their administrative and logistical procedures.
- Ensure the smooth flow of operational information.
- Adapt communication to different stakeholders and to the specific requirements of a multicultural environment.
- Contribute to maintaining an efficient, professional and well-organized working environment.
Requirements
Candidate Profile
Professional Experience
- Minimum 5 years of experience in one or more of the following areas:
- General Services;
- Project Administration;
- Facility Management;
- Operational Management;
- Logistics Coordination;
- Industrial Site Administration.
- Proven experience in coordinating external service providers and subcontractors.
- Experience managing services, equipment, infrastructure and general facilities.
- Experience in an industrial or nuclear environment is highly desirable.
- Previous experience on the ITER site would be a significant advantage.
Technical Skills
- Good knowledge of General Services and Facility Management activities.
- Proven experience coordinating external service providers and subcontractors.
- Strong knowledge of procurement follow-up and service contract management.
- Good understanding of administrative and operational processes within an industrial environment.
- Ability to monitor and coordinate infrastructure, buildings and equipment.
- Strong administrative and document management skills.
- Proficiency in reporting and activity monitoring tools.
- Very good command of the Microsoft Office Suite, particularly Excel, Word and PowerPoint.
- Ability to manage multiple tasks simultaneously while meeting deadlines.
