Arnaud Boué is a boutique winery dedicated to authentic, craft winemaking, where attention to detail, quality, and respect for the vineyard guide everything we do. We are growing and evolving, and this role will be key in helping us shape and organize internal processes as the winery expands.

About the Role:

We are looking for a proactive and organized Administrative & Financial Assistant who is comfortable working in an evolving environment where routines are still being developed. This person will not only administer administrative and financial activities, but will also help structure workflows, organize documentation, and propose improvements that support the sustainability of daily operations.

This is a hands-on role, ideal for someone who enjoys creating structure, solving problems, and contributing to the development of a growing business.

Key Responsibilities:
  • Support and help build internal administrative and financial processes from the ground up.
  • Administer payments: verify invoices, organize due dates, and process payments.
  • Administer, record, and classify documents in the system for accurate financial tracking.
  • Assist in the review and analysis of contracts with vendors and service providers.
  • Administer daily administrative routines and ensure proper information flow within the winery.
  • Administer correspondence (emails, mail, document routing).
  • Coordinate logistics with transport companies to ensure accurate and timely deliveries.
  • Administer sample shipments, including preparing shipping guides, scheduling pickups, and ordering specific packaging when necessary.
  • Support customer order administration, monitor deliveries, follow up with carriers, and resolve issues when needed.
  • Assist in preparing spreadsheets, cost sheets, and internal operational reports.
  • Collaborate across teams to organize workflows, define procedures, and support daily routines.
Requirements:
  • Previous experience in administrative and/or financial support roles.
  • Strong organization and attention to detail, even in non-structured environments.
  • Ability to work with autonomy, prioritizing and proposing solutions.
  • Proficiency with Excel.
  • Problem-solving mindset and comfort dealing with suppliers, logistics partners, and customers.
  • Fluency in English and French is mandatory.
