Description du poste

The International Potato Center (CIP) is seeking one Administrative Assistant to support the operations team at CIP-China for Asia Pacific (CCCAP).

About the role

This position will be based in the CCCAP Downtown office at Haidian District, Beijing. Under the overall supervision of the director of CCCAP, and the direct supervision of the Operation Officer of CCCAP, the candidate will work in CCCAP 40 hours per week, performing tasks assigned by the operations team.

Key responsibilities:

  • Assist with office activities, such as managing schedules, organizing and preparing relevant briefings or background material for meetings, events, exhibitions, and hosting visits.
  • Assist in preparing travel requests and liquidations, hotel reservations, train/air tickets, bookings, and managing assets and equipment in the downtown office, including CCCAP’s vehicle, internetworks, and computers, ensuring maintenance and smooth operation.
  • Assist Social and Economic Researchers by preparing and maintaining a basic statistical database with analysis.
  • Possess a reasonable understanding of Chinese law and assist with the review and proofreading of project-related agreements and contracts.
Requirements
  • Bachelor’s degree in Business Administration or related fields.
  • At least 3 years of experience in similar roles within Administration or General Services departments, with priority given to candidates with government department experience.
  • Proficiency in Word, Outlook, Excel, and PowerPoint.
  • Good listening, speaking, reading, and writing skills in English.
  • Ability to work under high demands and pressure, meet tight deadlines, and manage time effectively.
  • Ability to handle complex situations and demands, with effective communication with internal and external contacts at all levels.
  • Good judgment, diplomacy, and tactfulness.
  • Maintain absolute discretion when handling confidential and sensitive information.
  • Proven ability to work proactively in a multicultural environment, managing multiple tasks with a positive attitude.
  • Good marketing and customer service skills.
