The Role

The Administrative Assistant will provide administrative support to a team of Loss Adjusters and secretarial services for the Paris office, offering an excellent opportunity to work with an entrepreneurial team on a range of diverse and engaging tasks. Please note that this is part time role and a cover for maternity.

Key Responsibilities
  • Provide secretarial services for the Paris office, including:
    • Answering the telephone and being a first point of contact;
    • Overseeing ingoing and outgoing mail;
    • Drafting letters and other documentation;
    • Ordering office supplies;
    • Entering and monitoring expense claims.
    • Maintaining a record of absences and holidays.
  • Assist the Loss Adjusters with the management of their files, including opening new files, registering documents, updating claims forms, filing documents, data entry and transcribing notes.
  • Support with accounting data entry and invoicing administration (following up on invoices and issuing reminders to clients where required).
  • Support with the translation and correction of emails and reports in French and English.
  • Assist with marketing activities, such as the preparation of client presentations, and the arrangement of events and market seminars.
  • Liaise with the other administration teams across Europe to ensure alignment of processes where possible.
  • Carry out ad hoc duties and tasks that are allocated to you at the discretion of management and that are within your capabilities and within the scope of your post.
