Job summary

Hiab is seeking a Paralegal to drive key initiatives in corporate governance, compliance, and subsidiary management in Helsinki, Finland. You’ll be a proactive multitasker who enjoys optimizing processes and keeping operations running smoothly.

You’ll own AGM coordination, board material management, MAR insider administration, trade register matters, contract management, and cross-functional legal project work within the Group Legal function.

Qualifications

• Bachelor’s degree in Legal Studies, Business Administration, or a related field.
• Minimum 5 years of experience in a legal assistant, specialist, or paralegal role.
• Solid understanding of corporate governance principles and practises.
• Familiarity with MAR regulations and insider administration is highly desirable.
• High attention to detail, accuracy, and confidentiality.
• Excellent organizational and time management, with the ability to prioritize tasks effectively.
• Ability to work independently and collaborate across teams.
• Fluent in written and spoken English and Finnish.

Responsibilities

• Annual General Meeting (AGM) Management: lead coordination and execution with stakeholders.
• Board meeting management: material management and distribution.
• Corporate Governance: update governance sections and prepare Governance Statement.
• Insider Administration (MAR): handle MAR notices and trading window reminders.
• Subsidiary Management: assist with related party registers and minutes.
• Legal Case Management: maintain case register and reporting.
• Trade Register Matters: filings and notarization for parent and subsidiaries.
• Contract Management: assist with templates, archiving, and system development.
• Cross-Functional Assistance: support Group Legal, Treasury and IR on cross-functional tasks.
• Process Improvement: develop tools and AI-driven processes for efficiency.
• Stakeholder cooperation: work with leadership, Finance, IR, and external parties.
