Jones Lang LaSalle Incorporated (JLL) is seeking a Workplace Manager to lead on-site facilities operations in Madrid. You will coordinate performance with the Workplace Lead, manage vendors, ensure KPI delivery, and support a safe, compliant, and efficient workplace for clients and occupants.

• 5+ years exposure in Facilities Management within a large commercial organization.
• Experience owning facilities contracts and supplier/contract management.
• Experience with quality, environmental and EHS management systems.
• Educated to degree level or equivalent.
• Excellent verbal & written communication and IT literacy.
• Strong negotiation and stakeholder management skills.

Responsabilidades

• Deliver operational facilities KPIs as identified in the MSA and client initiatives.
• Support Leesman (customer experience) initiatives across the site with service partners.
• Liaise with occupiers and provide day-to-day guidance for building operations.
• Maintain full compliance with Environmental Health and Safety regulations.
• Manage performance of assigned support staff and develop their skills.
• Drive client KPI performance and oversee subcontractors and suppliers.
• Monitor customer satisfaction and lead initiatives to improve it.
• Support sustainability and procurement initiatives.

Workplace Manager

The Workplace Manager (Operations) is responsible for ensuring that the associated vendors are managed in line with the IFM vendor management process, and in accordance with contracts, measurable Key Performance Indicators and Service Level Agreements. Whilst supporting and directing the client facing team on site, they will act as a key support to the Workplace Lead.

What this job involves:

• Working closely and taking direction from the Workplace Lead take ownership and be responsible for delivering operational facilities related client KPIs as identified in the MSA (Master Service Agreement) and/or any other client agreed initiatives.
• To assist in the delivery of ‘Leesman’ (customer experience) operational initiatives across the site in close liaison with our service partners.
• To regularly liaise with occupiers and be the key support for advice and guidance in connection with the day-to-day physical operation of the building.
• Full compliance to Environmental Health and Safety regulations is continuously achieved.
• Services are managed and delivered consistently across the portfolio of sites.
• Establish relationships with client Site Leads, Area and Regional FM managers, business partners such as EHS leads, IT to establish trust and credibility in the delivery of IFM services.
• Support the resolution of Soft services FM and Workplace issues at sites under review, escalating when needed.
• Manage the performance and outcomes of assigned support staff reporting to the position.
• Develop the team’s existing skills and add new competencies to enhance service and drive opportunities for more self-performance.
• Drive performance as measured by client’s Key Performance Indicators.
• Manage subcontractors and suppliers to deliver goods and services against contracts and expectations.
• Ensure client satisfaction with delivery of Facility Management services and provide a lead role in monitoring and increasing customer satisfaction.
• Gap Analyses full sites PPM schedule against site assets or existing schedules.
• Oversight and support for Operations – providing real support to all Soft Services operations managed by JLL.
• Develop and support a sustainability and sourcing focus, delivering quality, frugal and sustainable solutions for Client.
• Actively support the EMEA Procurement Lead on Procurement projects, savings paperwork, contract compliance and sustainability initiatives.
• Compliance with local Health and Safety regulations.
• All other tasks/ duties as required.
