Senior Facilities & Workplace Lead
About the Job

We’re hiring a hands‑on Senior Facilities & Workplace Lead to own day‑to‑day operations for our Barcelona site, partner closely with the CEO / COO Office on priorities, and origin and deliver a rolling program of space reconfigurations. You’ll lead onsite service delivery, govern vendors and budgets, coordinate with our Madrid office and external partners and drive practical cost and energy‑efficiency improvements. What you do
  • Lead site operations by managing all soft and hard services end‑to‑end, including cleaning, maintenance / HVAC, security, catering, waste, mail, and meeting spaces; chair regular reviews, keep documentation current, and ensure audit readiness.
  • Guide onsite front‑of‑house and office operations resources, coordinate contractor teams, set clear standards, schedules, and escalation paths, fostering a safety‑first, service‑oriented culture.
  • Develop and own the reconfigurations roadmap, building annual plans for layouts, seating, and standards; prepare business cases and budgets, deliver projects from design to handover, including coordination with landlords and external partners.
  • Govern vendors by partnering with Procurement to lead sourcing, selection, performance reviews, and improvement plans; recommend renewals and changes based on evaluations.
  • Steward budgets by tracking OPEX for operations and proposing small CAPEX for workspace changes; provide clear forecasts and variance explanations to the CEO / COO Office.
  • Implement sustainability initiatives through practical energy‑saving and waste‑reduction actions, such as BMS / lighting tuning and recycling improvements, sharing outcomes with stakeholders.
  • Ensure compliance and safety by maintaining health and safety documentation, coordinating with building management and specialist providers, and representing Facilities at the executive level, escalating risks and recommendations to the CEO / COO Office.
What you bring
  • 5–8+ years experience in Facilities / Workplace Operations in a corporate or multinational environment with a proven track record operating as a site lead or deputy, including presenting recommendations to senior leadership.
  • Delivery of office reconfigurations or fit‑outs with minimal disruption in live environments. Event‑space / AV coordination familiarity .
  • Experience leading small onsite teams and coordinating contractor crews as well as professional fluency in Spanish and English.
  • Comfortable building business cases and recommending vendor selections / renewals with Procurement; confident managing contracts, performance and budget tracking / forecasting.
  • Working knowledge of building systems (HVAC, electrical, fire / life safety, BMS) and landlord coordination.
  • Familiar with facilities ticketing / maintenance systems (CAFM / CMMS) and Microsoft 365 (Excel, PowerPoint, Outlook, Teams).
  • Sustainability / ESG experience and basic dashboarding / analytics (e.g., Power BI). Health & Safety exposure or training (PRL / NEBOSH / IOSH).
  • Basic knowledge of AI principles, technologies and their practical use.
