A global real estate services firm in Madrid is seeking a part-time team member to manage visitor procedures, coordinate hospitality services, and ensure fire evacuation protocols are followed. Responsabilidades

  • Manage visitor identification through Ccure system.
  • Coordinate visitor escorts with employees.
  • Execute fire evacuation procedures.
  • Receive catering requests and manage booking.
  • Answer the main site telephone number.
  • Manage Ccure access control for Madrid office.
  • Produce monthly access and personnel reports.
  • Control subcontractor and backup daily.
  • Coordinate business card requests.
  • Provide utility invoice tracking.
  • Manage fleet fines and personal data requests.
  • Support mailroom activities.

Responsibilities
  • Visitor procedure – manage identification through Ccure system and assign Wi‑Fi credentials to employees and visitors.
  • Visitor escort coordination – contact employees for visitor escorts.
  • Fire evacuation – execute the personnel evacuation program, ensuring pedestrian crossing safety and traffic control when needed.
  • Hospitality services – receive catering requests at reception, coordinate with the canteen team, manage meeting room booking, update catering orders in the database and solve any incident that may arise.
  • Telephone operation – answer the main site telephone number.
  • Access control system – manage the Ccure access control for Madrid office, including coded identification badges and key cards for employees, contractors and visitors, and coordinate employee photo cards.
  • Monthly reporting – produce CPD access and authorized personnel reports.
  • FM support – daily control of subcontractor and backups, support follow‑up of KPIs implementation.
  • Business card – coordinate requested business cards with approved supplier.
  • Electricity & water invoicing – provide electricity and water invoice from the web site, track consumption and email PTP with invoices and PO number.
  • Fleet fines management – download fines in the Miratusmultas program, request personal data from the offending driver to identify him in the program or in the corresponding organization.
  • Brandstore – process employee requests to be managed with the provider in charge of the service.
  • Mailroom backup – support mailroom activity when staff is receiving deliveries in the storage point.
