Formación

The business strategic agenda for Spain is relevant and fast paced, so the complexity of the activities performed by the HoC have increased during the recent years. In addition to that, since 01st of January 2025, bp is also owning the presidency of the Spanish NOIA until end of 2026.

The role

The post holder will be responsible for providing high-quality personal and administrative support to the HoC, delivering primary management support and diary management to enable them to complete their responsibilities optimally. The post holder will act as the primary collaborator with a range of internal and external customers and require accurate industry knowledge, sensitivity to a range of issues both strategic and ongoing business delivery and be able to handle HoC priorities in a flexible manner.

Key Accountabilities
  • Assists to HoC in daily duties as diary management, travel arrangements, organization of meetings and calls, ensuring the management of the priorities efficiently and assuring the on-the-go requirements are met quickly and in a flexible manner.
  • Develop, build and maintain relationships with key internal and external collaborators to ensure the appropriate level of contact is maintained, including bp senior managers, politicians´ business and personal assistants, third companies´ executives and their PAs, external providers, etc.
  • Coordinating events of all type: internal events, country townhalls, international bp receptions, meetings with external collaborators, Christmas celebration, etc.
  • Support the HoC in the conduct of ad-hoc meetings when required and chip in to finding opportunities to develop more efficient ways of working.
  • Act as Madrid office representative for workplace purposes and projects, ensuring that office-related arrangements, layout modifications and all kind of improvement actions are accurately coordinated and handled, including interaction with Procurement, Workplace, P&C and business representatives.
  • Lead and handle day-to-day operational aspects of designated projects and work closely with relevant customers to ensure effective and efficient implementation of project outcomes, if applicable.
  • Provide assurance that relevant and confidential documentation is up-to-date and appropriately stored. Administrative and back-office activity such as PO creation, invoicing, couriers, documentation storage and management, office supply, Corporate Stakeholders database management, expenses claim process, etc.
  • HoC budget management and control
  • Management and update of Borealis platform and registering of key collaborators and activity linked to the HoC agenda
Crucial Experience And Job Requirements
  • Experience as team or personal assistant (3 year)
  • Excellent influence, communication, and networking skills both with internal and external customers.
  • Excellent team working skills.
  • Agility on IT tools management (Office, Outlook, Email, Teams, webpages, SAP …).
  • Strong follow-through and completion of assigned tasks.
  • Strong verbal, written communication and interpersonal skills, with the ability to communicate sophisticated issues succinctly to a range of audiences.
  • Business bias and ability to assess and anticipate business requirements.
  • Ability to work accurately and in an organised manner, including on projects which could be sensitive or highly time-critical in nature.
  • Proactivity, ability to learn and embed new activities and tasks and continues improvement approach.
  • Discretion and ability to keep confidentiality.
  • Self-motivated and naturally inquisitive.
  • Proficient in Spanish and English.
