Position Overview

We are seeking an Operations & Office Coordinator – Europe to join our dynamic team in Barcelona, Spain. You will oversee daily office operations, coordinate logistics, and support administrative tasks across Europe. Reporting to the regional operations manager, you will ensure our office runs smoothly, manage budgets and inventory, and support sales and finance operations. This is an on‑site role based in Barcelona; no regular travel is required.

Key Responsibilities
  • Office Management: Ensure efficient day‑to‑day operations of the Barcelona office. Manage office maintenance, supplies and vendor relationships. Maintain an organised and welcoming workspace.
  • Logistics Coordination: Oversee logistics for new and used inventory, evaluations and rentals. Collaborate with logistics providers to streamline processes and negotiate terms that benefit the company and customers.
  • Administrative & Financial Support: Process financial transactions, maintain accurate financial records and provide reporting support. Manage the office budget, track expenses and process invoices to meet cost targets.
  • Sales Operations Support: Serve as a backup to the business operations manager by generating official quotes, invoices and delivery orders. Maintain accurate customer records and documentation in Odoo and HubSpot, ensuring data integrity.
  • Communication & Correspondence: Handle incoming correspondence, resolve queries and manage internal and external communications. Coordinate travel logistics and arrangements for staff across Europe.
  • HR & Finance Support: Provide administrative assistance to HR and finance teams, ensuring compliance with local procedures and regulations.
  • Customer Invoice Collection: Monitor and collect customer invoices, ensuring timely payment. Maintain accurate accounts receivable records and work with customers and sales teams to resolve billing issues.
Performance Goals
  • Timely Operations: Maintain on‑time completion of administrative tasks (e.g., processing invoices within X days, ensuring zero delays in inventory shipments).
  • Budget Accuracy: Track office expenses and budgets within agreed thresholds; provide monthly reports to management.
  • Data Integrity: Ensure 100% accuracy of customer and inventory records in Odoo and HubSpot.
  • Vendor & Cost Efficiency: Negotiate logistics and supplier contracts to achieve cost savings while maintaining service quality.
  • Customer Support: Provide prompt and professional responses to internal and external inquiries with a high satisfaction rating.
  • Invoice Collection: Maintain on‑time collection of customer invoices and manage days sales outstanding (DSO) within agreed targets.
Experience & Skills
  • Education: Bachelor’s degree in Business Administration, Operations Management or a related field (or equivalent experience).
  • Experience: Minimum 3–5 years of experience in office management, administrative support or logistics coordination, preferably within a technology or media environment.
  • Technical Skills: Proficiency with Google Workspace, Slack, HubSpot, Odoo or similar ERP / CRM systems. Comfortable with basic accounting and reporting tools.
  • Languages: Fluency in English, Catalan and Spanish is required; additional European languages are an asset.
  • Personal Qualities: Strong organisational and communication skills, attention to detail and a proactive, problem‑solving mindset. Able to build positive relationships and work independently in a hybrid work environment.
