A leading global professional services network is seeking an Office Coordinator for their Madrid office. The successful candidate will be responsible for overseeing office facilities, coordinating events, and supporting HR processes. A degree in Administration or related field and 2-4 years of relevant experience are required. Proficiency in English and experience in an international setting are preferred. This position offers a full-time permanent contract with hybrid work and flexible benefits.

Formación

  • Good command of English (B2 or higher); Spanish is an advantage.

Your Role

You will be responsible for the day-to‑day operations of the Barcelona office, ensuring everything runs efficiently and that teams have the resources and environment they need to perform at their best. This is a hands‑on and highly visible role that combines office management, operations, HR and finance support.

Your main responsibilities
  • Overseeing office facilities, stock, and equipment (IT kits, furniture, supplies, etc.)
  • Coordinating meeting rooms, events, and office logistics (internal meetings, workshops, and celebrations).
  • Acting as the main point of contact for suppliers and service providers (IT, cleaning, catering, maintenance).
  • Supporting HR processes such as onboarding, preparing workstations, and welcoming new hires.
  • Assisting Finance with administrative and purchasing processes (invoices, budgets, vendor management).
  • Helping to maintain office procedures, records, and documentation.
  • Coordinating small internal projects and contributing to process improvement within the CoE.
Your Profile
  • Degree in Administration, Management, HR or related field.
  • 2–4 years of experience in office coordination, operations or administration in an international environment.
  • Excellent organizational and multitasking skills, with a proactive and solution‑oriented mindset.
  • Comfortable managing multiple stakeholders (internal teams, suppliers, service providers).
  • Good command of English (B2 or higher); Spanish is an advantage.
  • Proficient in MS Office and general digital tools.
