The Student Affairs Assistant supports the Head of Student Affairs and the Student Health and Safety Coordinator in all aspects related to student health, safety, wellness, and emergency management, as well as student services and integration initiatives.
The Student Life Assistant reports to Student Health and Safety Coordinator.
The Student Life Assistant will assist with health and safety procedures, wellness support, emergency preparedness, housing inspections, and co‑curricular student life programming. Provide primary support to students regarding health, wellness, and safety concerns.
- Assist students in navigating medical appointments and accessing healthcare services.
- Support the creation and distribution of weekly safety messages and wellness updates.
- Emergency Management
- Support the Student Affairs Coordinator and Head of Student Affairs in emergency response situations.
- Participate in the development, rehearsal, and evaluation of emergency drills and safety training sessions.
- Maintain updated contact lists and safety materials for staff and students.
- Student Affairs Support
- Assist in organizing on-site Orientation and workshops related to health, safety, and cultural adaptation.
- Provide immediate information and guidance to students on local services (health centers, pharmacies, emergency contacts, etc.). Support disciplinary and mediation processes when required.
Planning and organization of cultural activities, such as one‑to‑one and group language exchange, weekend activities.
- Planning and organization of the Cooking classes, Flamenco and Yoga workshop.
- Organize student activities and integration with Spanish university student life.
- Active collaboration in IES theatre productions, Flamenco workshop.
- Support Student Affairs Coordinator in maintenance of the Guided Book.
- Provide information of volunteering opportunities in collaboration with the Student Affairs Assistant at Recoletos Campus.
Housing Support
- Assist with the inspection and evaluation of housing options, ensuring safety and quality standards.
- Support homestay families, Residence Hall staff, and apartment managers as needed.
- Participate in the organization of cultural and community engagement activities promoting integration and well‑being.
- Encourage student participation in events that foster cross‑cultural understanding and personal growth.
- Contribute to the creation and maintenance of Moodle pages, social media, and Guidebook content related to Student Affairs.
Participate in field trips, as determined by the Head of Student Affairs.
- Provide immediate information to students regarding transportation, libraries, computer access, local activities, and travel opportunities.
- Process student applications for transportation passes, Library cards and ID International Student.
- Provide support, conflict resolution, crisis management, mediation, and discipline to a diverse group of students from a variety of backgrounds in collaboration with the Head of Student Affairs.
- Maintain active communication channels with the Head of Student Affairs, Student Affairs leadership within the IES Abroad Spain Cluster and at our headquarters in the US.
- Organize student social events and programs.
- Answering student inquiries or concerns regarding extracurricular activities, transportation, libraries, local activities.
- Fluency in English and Spanish (written and spoken).
Bachelor’s degree.
Proficiency in Microsoft Office and database tools (Airtable, Moodle, etc.).
Background in health, psychology, student affairs, or emergency management.
Ability to work flexible hours and participate in an emergency on‑call rotation.
