About the Role


We are looking for a highly organized, proactive, and hands-on Office Manager Iberia to join our dynamic team. Based in Barcelona, you will play a crucial role in ensuring the smooth and efficient operation of our Iberia office. You will support various teams and executives by handling a wide range of administrative, logistical, and operational tasks.

People are at the centre of everything you do. You create a positive and welcoming office atmosphere, ensuring colleagues feel supported and valued. With strong multitasking skills and a proactive mindset, you continuously look for ways to enhance the workplace and improve the daily experience for everyone. You will manage many different kinds of tasks like spotting and fixing issues in the office, arranging for international travel for executives under your care and major group meetings taking place locally, ensuring the office is always fully stocked, supporting our management and various teams and taking the lead in or supporting the organization of company outings and events.

As the go-to person for your colleagues, you build strong relationships across the team and beyond. You’re the welcoming face of the office for our international partners, colleagues, external stakeholders and suppliers while confidently upholding company policies and taking full ownership of your role.

Key Responsibilities

  • Administrative Support & Agenda Management EB members in the colocation
    • Manage calendars, schedule appointments, and coordinate meetings for management.
    • Serve as a key point of contact for visitors and partners.
    • Organize international and domestic travel, including flights, accommodation, visas, transportation, and itineraries for EB members in the colocation, handling last-minute changes and troubleshoot travel issues as they arise.
  • Office Facility Management, Office Event Management & Company Outings
    • Manage office supplies (stationaries, medical, catering, etc. )
    • Ensure smooth day-to-day operations of the office facilities and resources.
    • Organize or provide support to internal and external events, team-building activities, and company outings.
    • Coordinate logistics, venues, catering, and communication for major group meetings and events.
  • Administrative Colocation and INDU support
    • Assist with onboarding and offboarding processes, with hardware/software setup, have “physical” space in the office, make ready to welcome.
    • Place Purchase Orders, securing process from PO to supplier payment for INDU department and Colocation general costs

Requirements

  • Proven experience as an Office Manager, Executive Assistant, or similar role.
  • Fluent in Spanish and English (spoken and written).
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • High level of discretion and confidentiality.
  • Proficient in Microsoft Office Suite, Teams, and other relevant business software.
  • Ability to work independently and take initiative.
  • Experience in a fast-moving, sometimes ambiguous environment.
  • Experience in supporting international teams and coordinating across multiple time zones is a plus.
