Office Manager (Madrid)
This is an in-person role based in Madrid. Applicants must already reside in Madrid. Remote work is not possible for this position.
Refinery89 is looking for a proactive, organized, and people-driven Office Manager to keep our fast‑paced Madrid office running like a well‑oiled machine. What You’ll Do
- Oversee day‑to‑day office operations to ensure our 800m² Madrid headquarters run smoothly and efficiently.
- Manage office supplies, vendor relationships, and maintenance providers to keep the workplace functional and pleasant.
- Support onboarding and offboarding processes in coordination with our HR department.
- Act as the main point of contact for all facility‑related topics, including coordination with building management and service providers.
- Organize company events, Friday gatherings, and team‑building activities that strengthen our international culture.
- Assist in travel arrangements, meeting scheduling, and calendar coordination for leadership and visiting staff.
- Ensure health, safety, and compliance standards are met within the office environment.
- Handle incoming correspondence, packages, and manage general inquiries to the Madrid office.

- 2+ years of experience in office management, administrative assistance, or operations coordination.
- Previous experience in a startup or international environment.
- Familiarity with tools like Google Workspace, Slack, and basic Excel or accounting knowledge.
- Experience coordinating company events or managing small budgets is a big plus.
