Reporting to the General Manager, Spain, you will be responsible for ensuring the smooth day-to-day running of our Spanish affiliate, combining office administration, operational coordination, and administrative support to the Market Access team, Device Support Specialists (DSS) group, and General Manager.

This is a hands‑on role for someone who genuinely enjoys administrative work, takes pride in keeping things organized, and thrives on helping others. You will be a central point of contact for colleagues and external stakeholders, taking ownership of daily operations while identifying opportunities to improve processes and ways of working.

What You’ll Do
  • Take ownership of day-to-day office administration, ensuring an organized, efficient, and welcoming working environment.
  • Act as a key point of contact for internal and external stakeholders, coordinating with Finance, Human Resources, IT, building reception, and external suppliers.
  • Provide administrative and logistical support to the Market Access team, Device Support Specialists group, and General Manager, helping them manage day-to-day operational needs.
  • Coordinate local onboarding activities for new employees, helping ensure a smooth start.
  • Manage office supplies, equipment requests, correspondence, shipments, and the affiliate's official communication channels.
  • Support financial administration, including invoice processing, expense tracking, budget monitoring, and maintaining accurate records.
  • Organise internal meetings, including room bookings, catering, scheduling, and logistical arrangements.
  • Maintain and organise affiliate documentation, ensuring accuracy, accessibility, and compliance with relevant requirements.
  • Coordinate administrative activities related to occupational risk prevention, including medical appointments and annual reassessments.
  • Support the General Manager with administrative tasks, documentation, and internal operational coordination.
  • Identify opportunities to streamline administrative processes and improve the efficiency of day-to-day operations.
About You

Minimum Requirement:

  • Experience in administrative support, office coordination, or a similar role. We are open to candidates at an early stage of their careers who demonstrate the right skills and mindset.
  • Strong organisational skills, attention to detail, and the ability to manage multiple administrative tasks effectively.
  • Excellent interpersonal and communication skills, with a service‑oriented approach to supporting colleagues and stakeholders.
  • Confidence using Microsoft Office and office management tools.
  • Fluency in Spanish and English, both written and spoken.
  • A proactive, structured, and reliable approach, with the ability to work independently and take ownership of responsibilities.

These additional qualifications are preferred:

  • Experience in healthcare or another regulated environment.
  • Familiarity with administrative compliance requirements and documentation processes.
  • A collaborative, empathetic mindset and genuine enjoyment of supporting others.
  • Curiosity and initiative to identify improvements and make everyday processes more efficient.
  • Adaptability, sound judgement, and a positive, solutions‑oriented attitude.
What We Offer
  • This pay range which Novocure expects to pay for this role at the time of this posting is 32,000 to 38,000 €/year (base salary).
  • This position may also be eligible for an annual bonus and restricted stock unit grant in addition to a full range of benefits.
  • Individual compensation within this range depends on a variety of factors, including, but not limited to, prior education and experience, job‑related knowledge and skills demonstrated.
