Alpega is seeking a Junior Procurement Officer in the indirect procurement domain (IT & Purchased Services) based in Sant Cugat del Vallès with a flexible, hybrid work model. You will support the Procurement Manager, working with Finance, IT, Legal, and Information Security to ensure cost-effective, compliant purchases and proper documentation.

You will help with supplier offers, renewals, due diligence, and records management while building cross-functional relationships across the company.

Responsabilidades

• Track software and SaaS renewals; proactively flag renewal dates to avoid costs.
• Assist with vendor onboarding and due diligence for data security/privacy (SOC 2, NIS, GDPR).
• Maintain records of POs, contracts and invoices; perform PO-to-contract-to-invoice matching.
• Coordinate basic contract reviews with Legal and Information Security.

Alpega Group is looking for our next enthusiastic Junior Procurement Officer in the domain of indirect procurement (the categories IT & Purchased Services). This is primarily a support and administrative role: you will work closely with, and report to, our Procurement Manager. You will also work closely with Finance, IT, Legal, Information Security, and business stakeholders across the company to ensure purchases are cost-effective, compliant, and properly documented. You will be based in our office in Sant Cugat del Vallès, Barcelona, Spain, with a flexible, hybrid working model.

About The Role

• The scope of our team is to handle all procurement activities for the Alpega Group.
• Support the Procurement Manager with supplier management: helping gather, compare, and organize offers (RFI/RFQ), and following contracts through to finalization.
• Track and manage the renewal calendar for software and SaaS vendor contracts in our procurement tracking tools (e.g., Trello, Jira), proactively flagging upcoming renewals and auto-renewal clauses well ahead of deadlines to avoid unplanned price increases.
• Support vendor onboarding, including basic due diligence on data security and privacy posture (e.g., SOC 2, NIS, GDPR compliance) for new software purchases, coordinating with Legal and Information Security.
• Maintain accurate records of purchase orders, contracts, and invoices, and perform PO-to-contract-to-invoice matching for subscriptions and services spend.
• Read and review vendor documents and quotes, including SaaS pricing models (per-seat, tiered, usage-based), spotting issues and preparing clear lists of questions and remarks for the Procurement Manager.
• Help route software purchase requests from internal stakeholders (Engineering, IT, Marketing, etc.) through the proper procurement channels to reduce shadow IT spend, escalating stakeholder conversations to the Procurement Manager as needed.
• Maintain procurement documentation and controls in line with Alpega's compliance and ESG/EcoVadis requirements.
• Assist with basic contract review and redlining coordination alongside Legal and Information Security.

Must-have Skills

• Strong attention to detail and rigor, with the discipline to follow a structured process precisely and consistently.
• Excellent organizational skills, able to manage multiple concurrent contracts, deadlines, and priorities in a structured, plan-driven way — following requests through to completion.
• Ability to read and analyze documents (contracts, quotes, vendor policies), identify what needs attention, and draft clear, well-organized questions and remarks.
• Comfortable using tracking and workflow tools (e.g., Trello, Jira) to rigorously manage calendars, renewals, and follow-ups.
• Proactive and reliable in tracking contract renewal dates and auto-renewal clauses to avoid unplanned costs.
• Good written communication skills for internal coordination and occasional vendor correspondence by email
• Advanced Microsoft 365 skills, including Excel, Word, PowerPoint, and SharePoint.
• Fluent in English (C1-C2 level, mandatory).
• Able to work independently while remaining collaborative and diplomatic, taking direction from the Procurement Manager.

Nice-to-have Skills

• Familiarity with SaaS/software procurement concepts, including license true-ups, seat management, usage-based billing, and auto-renewal terms — this can also be learned on the job.
• Prior exposure to procurement or the procure-to-pay (P2P) cycle, particularly for services, software subscriptions, and recurring vendor agreements.
• Interest and ambition to grow over time into a more stakeholder-facing role, eventually leading smaller supplier negotiations.
• Additional European languages beyond English.
