A leading recruitment and talent management firm seeks an Executive Assistant to provide high-level support to the CEO in Madrid. This role requires a minimum of five years' experience, impeccable organizational skills, and bilingual proficiency in English and Spanish. The Assistant will manage the CEO's agenda, handle confidential communications, and coordinate travel, ensuring smooth operations in a dynamic environment. Competitive compensation of €48,000 per year is offered for this onsite position.

ROLE MISSION

The Executive Assistant will provide high-level and fully confidential support to the CEO, acting as the main point of coordination for both professional and personal matters. This position requires outstanding organisational skills, strategic prioritisation, discretion, and the ability to anticipate needs in a fast-paced, high-demand corporate environment. The role is key to ensuring the CEO’s time, communications, and commitments are managed efficiently and effectively.

MAIN RESPONSIBILITIES

Full management of the CEO’s professional and personal agenda, including internal and external meetings, strategic appointments, private commitments, and social events. Anticipation and reorganisation of priorities according to business needs and unexpected changes.

Handling all internal and external communications on behalf of the CEO, drafting emails, responses, briefs and summaries. Acting as a strategic gatekeeper, filtering access and prioritising information flow to and from the CEO. Coordination with board members, executive committee, investors, key partners and institutional stakeholders.

Management of highly confidential documents and sensitive information related to strategy, finance, HR and private matters. Preparation of executive reports, business presentations, meeting minutes and follow-up action plans.

Organisation of national and international business travel including flights, accommodation, transport, itineraries and expense reports. Preparation of travel dossiers and logistical coordination of all related details.

Support with personal matters when required, such as private reservations, family-related coordination, medical appointments and occasional personal purchases. Liaison with household staff, drivers or external service providers when necessary.

REQUIREMENTS

University degree or Higher Vocational Training in Business Administration, Executive Assistance, Languages or a related field. Minimum of five years of experience as Executive Assistant to C-level executives, preferably supporting a CEO, President or Founder. Experience in multinational environments or complex organisational structures is highly valued.

English bilingual (C2) is mandatory and will be tested. Native or equivalent Spanish level. Catalan is a plus.

Advanced command of Microsoft Office 365 (Outlook, PowerPoint, Excel, Teams). Strong executive writing skills in English and Spanish and experience managing complex international schedules and travel.

WHAT WE OFFER

A temporary strategic role providing first‑line support to the CEO. Six‑month full‑time assignment with high visibility at executive level. 100% on‑site work in Sant Joan Despí, Barcelona. Competitive compensation :

€48,000 gross per year.
