Job summary

Allianz Technology, based in Barcelona, seeks an Executive Assistant to the Head of IT to provide high-level administrative support and manage strategic initiatives within the CTO1AGCS unit. This role involves coordinating meetings, preparing briefings, and enabling the HoIT and their team for complex projects in a fast-paced environment.

Candidate should have at least 3 years of project management experience, a strong IT or business background, and excellent English communication skills.

Qualifications

• Academic qualification in IT or economics/business administration with IT affinity and PM experience (≥3 years).
• Fluent English required; ability to communicate across levels of corporate hierarchy.

Responsibilities

• Proactively ensuring Head of IT is prepared for meetings, presentations and discussions.
• Manage complex tasks with tight deadlines and multiple stakeholders for project roll-out.
• Support steering of strategic initiatives and ensure alignment with AzT strategy and high-quality delivery.
• Filter, prioritize and follow up emails; highlight urgent correspondence as needed.
• Coordinate content for project execution and deliverable sign-offs within CTO1AGCS.
• Collaborate with HoIT's direct reports on tasks, deadlines and offsite preparations.

About the Job

The CTO1AGCS IT function at Allianz Technology SE is responsible for the delivery of services globally and drive transformation and innovation activities in these areas. Areas of responsibility include application services, database and platform services, as well as the regional set-up across the globe.

What you do

• Proactively ensuring that the Head of IT is at all times prepared for upcoming meetings, presentations, and discussions, as well as enabling and equipping the direct reports for all topics related to the function both in terms of content, planning and communications.
• Complex task management with tight deadlines, multiple stakeholder management, project management with multiple entities needed for project roll‑out, and the need to analyze and challenge Allianz Technology topics and content.
• Support the steering of strategic initiatives the HoIT is working on, ensuring they align with AzT strategy and delivered to a high quality.
• Daily business support to filter, prioritize and follow up emails, and highlight urgent correspondence where needed.
• Supporting the function as the main point of contact for incoming requests related to the function with the ability to coordinate, gather, and distribute the correct content for project execution and deliverable sign-offs within CTO1AGCS.
• Collaborating with other direct reports of the HoIT on outstanding tasks, deadlines and offsite preparations.

What you bring

• Academic qualification, preferably in IT or economics/business administration with a IT affinity, as well as project management experience (at least 3 years of professional experience).
• Detailed knowledge of and experience in the Allianz Group and Allianz Technology customers, services & processes is required as well as fluent English
• Ability to communicate effectively across all levels of corporate hierarchy, with both IT and business managers; High affinity for technology and infrastructure security, at the same good business acumen and strong financial understanding.
• Excellent analytical and communication skills, as well as very good Microsoft Office skills, with advanced Microsoft Powerpoint knowledge.
• Ability to work independently and accurately, to organize and prioritize multiple tasks in a structured and reliable way, and to work well under time pressure.
• Basic knowledge of AI technologies, principles, and their practical use.
