HelloPrint is looking for an exceptional Executive Assistant to support our Executive Team and act as a key operational backbone for our Valencia office.

This is not a traditional administrative role, it’s a position for someone who thrives in a fast-paced, entrepreneurial environment, takes full ownership, and anticipates needs before they arise.

As an EA at HelloPrint, you will be the right hand to our management team and a key partner for our People, Culture & Operations team. You’ll manage executive priorities, streamline processes using an AI-first mindset, and ensure our office runs smoothly every day.

What You'll Do
  • Executive & Leadership Support: Provide high-level support to the Management Team by coordinating calendars, communication, priorities, and key follow-ups. Act as a reliable partner who helps leaders stay organised, informed, and focused on what matters most.
  • Office & Operations: Ensure the office runs smoothly by coordinating daily operations, suppliers, logistics, and internal requests. Help maintain an efficient, welcoming, and well-structured workspace for the entire team.
  • People, Culture & Employee Experience: Support initiatives that strengthen company culture, from onboarding moments to team experiences and employee programs. Help create a positive environment where people feel supported and connected.
  • Events & Team Activities: Assist in planning and delivering company events, seasonal activities, and team gatherings. Coordinate logistics, communication, and budgets to ensure seamless and engaging experiences.

  • 5+ years supporting executives or senior leaders in a fast-paced environment.
  • Higher-level studies (Business Administration, Law, HR, or similar).

  • Strong proficiency with Google Suite.
  • Experience in event coordination and office operations.
  • Experience with travel booking and expense management tools.
  • Strong professionalism, integrity, and confidentiality.
  • Ability to move quickly, shift priorities, and stay calm under pressure.
