A dynamic events company based in Spain seeks an experienced Admin Assistant for a part-time, remote position. You will support project managers and ensure the smooth administration of events, especially in the pharmaceutical sector. Formación

  • 5+ years of experience as an Admin Assistant, Project Assistant, or Executive Assistant.
  • Knowledge of pharmaceutical/healthcare event regulations and compliance standards.
  • Fluency in spoken and written English & Spanish is essential.

What you’ll be doing

In this role, you will workremotely from Madrid on a 50% part-time schedule and you will be dedicated toon one of our key pharmaceutical clients to:

  • Support project managers with reporting, budget updates, scheduling, and overall admin coordination.
  • Upload and maintain documents and data on platforms like Cvent, ensuring accuracy and compliance.
  • Keep all compliance requirements documented and up to date.
  • Manage vendor contracts, logistics, and assist with venue, travel, and resource coordination.
  • Maintain and improve structured reporting tools and organized project folders
Must haves

(We really mean it. Candidates who do not meet the following criteria will not be considered.)

  • 5+ years of relevantexperience as Admin Assistant, Project Assistant,or Executive Assistant, preferably inthe event or hospitalityindustry.
  • Knowledge of pharmaceutical/healthcare event regulations and compliance standards.
  • Strong skills in Microsoft Office and digital event platforms (experience withCvent is considered a strong asset).
  • Fluency in spoken and written English & Spanish (no scrambled oeufs at egg, svp.)
  • Based in Madrid, available from February 2026, and comfortable withremote work on a 50% part-time schedule.

Nice to haves

  • Fluency in French (in addition to English and Spanish)
  • Previous experieence in an event agency.
