As a Clinical Site Payment Associate Manager, you will play a key role in managing clinical trial site payments, ensuring financial accuracy, regulatory compliance, and timely compensation for research sites and investigators. You will oversee payment processes from data review and invoice validation to reconciliation, accruals, and forecasting, helping maintain financial transparency across clinical studies. Working with cross-functional teams and external stakeholders in an international environment, you will support the smooth execution of clinical research activities. You will use financial systems and clinical trial platforms to analyze payment data, resolve discrepancies, and improve reporting processes. The role also offers the opportunity to contribute to operational innovation by identifying ways to leverage artificial intelligence and automation in clinical payments. With a strong focus on accountability, customer service, and continuous improvement, you will help strengthen financial operations across the healthcare and life sciences sectors. This is an opportunity to combine financial expertise with meaningful work that supports clinical research and better patient outcomes.

Accountabilities:
  • Manage clinical site payments: Process investigator and clinical site payments in accordance with internal procedures, applicable regulations, contractual obligations, and country-specific requirements.
  • Review and validate financial data: Collect, consolidate, and analyze information from multiple sources, including clinical study budgets, Electronic Data Capture (EDC) systems, and Clinical Trial Management Systems (CTMS), to ensure accurate payment calculations.
  • Oversee invoice management: Review clinical site invoices when required, investigate discrepancies, resolve payment-related issues, and provide clear, timely responses to questions or findings.
  • Perform financial reconciliations: Reconcile payment records, prepare accurate payment accruals and forecasts, and ensure financial information remains consistent across relevant systems and reporting tools.
  • Develop and maintain reporting: Create, update, and maintain standardized reports that support payment monitoring, financial oversight, operational visibility, and informed decision-making.
  • Drive process and technology improvements: Identify opportunities to optimize clinical payment workflows, improve systems and reporting, and evaluate the potential use of artificial intelligence and automation to enhance efficiency and accuracy.
  • Manage operational and financial risks: Identify, assess, and address risks associated with clinical site payments, implementing appropriate controls and escalating issues when necessary.
  • Collaborate with stakeholders: Work closely with internal teams and external partners to coordinate payment activities, resolve complex issues, and maintain a high standard of customer-oriented service.
  • Maintain accurate documentation: Prepare, collect, and maintain process, project, contractual, and financial documentation to support operational consistency, transparency, and audit readiness.
  • Support continuous improvement: Adapt to evolving systems, processes, and regulatory requirements while contributing practical recommendations that improve the quality and reliability of clinical payment operations.
Requirements:
  • Educational background: Bachelor's degree or higher in Business Administration, Finance, Accounting, or a related field.
  • Relevant professional experience: At least five years of experience in clinical payments, with a strong understanding of the end-to-end clinical site payment process.
  • Clinical trial payment expertise: Demonstrated knowledge of investigator and site payment workflows, study budgets, contractual payment terms, reconciliations, accruals, and forecasting.
  • Financial and analytical capabilities: Strong financial analysis, critical thinking, and problem-solving skills, with the ability to interpret complex data, investigate discrepancies, and develop practical recommendations.
  • Technical proficiency: Good knowledge of Microsoft Office, financial systems, EDC platforms, and CTMS solutions, with the ability to work confidently across multiple data sources and reporting tools.
  • Attention to detail: A high level of accuracy and organization when reviewing financial information, processing payments, preparing reports, and maintaining documentation.
  • Communication skills: Excellent written and verbal English, with the ability to explain financial issues clearly, document findings, and communicate effectively with diverse stakeholders.
  • Customer-oriented mindset: A strong commitment to providing responsive, reliable, and solution-focused support to clinical sites, investigators, and internal teams.
  • Collaboration and teamwork: Ability to work effectively with cross-functional colleagues and external partners in a global, multicultural environment.
  • Adaptability and learning agility: Willingness and ability to learn new systems, adapt to changing processes, and manage multiple priorities in a dynamic clinical research environment.
  • Process improvement mindset: Interest in improving operational efficiency, strengthening financial controls, and exploring emerging technologies, including AI-driven tools, to enhance clinical payment processes.
Benefits:
