The business

We are the award‑winning English‑language media group, the Olive Press, in Spain. Via printed media and digital platforms, we combine cutting‑edge journalism, lifestyle guides and direct marketing to the English‑speaking expat community across Spain. As we enter into our 20th year, we are expanding our operations and strengthening our administrative support team. We are now seeking a highly organised, bilingual Bookkeeper & Administrative Coordinator to join our Marbella‑based office.

Role overview

The ideal candidate will manage day‑to‑day bookkeeping and invoicing, provide support to the office administration department and serve as a point of contact for clients, suppliers, and internal team members. This is a hands‑on position within a fast‑paced media group, requiring high‑level accuracy, reliability, and a pre‑emptive approach.

Key responsibilities
Bookkeeping & Finance
  • Process accounts payable and receivables
  • Daily reconciliations of bank accounts, digital payment platforms and petty cash
  • Manage invoicing and payment tracking, plus recovery and receivables
  • Assist in the preparations of monthly financial reporting
  • Ensure accurate quarterly filing and compliance with Spanish accounting procedures, including the new Verifactu system implementation of 2026
Administrative Support
  • General office administration and coordination
  • Maintain organised records and digital documentation
  • Provide support and communication between editorial, sales, and advertising teams
  • Liaise with clients and suppliers in both English and Spanish
  • Assist with HR‑related documentation and onboarding processes
Requirements
  • High‑level fluency in both English and Spanish (both written and spoken)
  • Proven experience in bookkeeping and financial administration
  • Knowledge of Spanish administrative or labour processes
  • Strong understanding of invoicing, reconciliations, and accounting principles
  • Proficiency with Zoho accounting software (or similar software packages)
  • High level of computer literacy (Excel and Google Workspace)
  • Excellent organisational and time‑management skills
  • Strong communication and customer‑service orientation
  • Ability to work independently with accuracy and discretion
Preferred but Not Essential
  • Experience working within printed and digital media or creative industries
  • Familiarity with advertising and subscription‑based business models and platforms
