A recruitment solutions firm in Madrid is looking for a Bid & Tender Solutions Specialist to manage the bid process and ensure high-quality proposals. The ideal candidate is fluent in Polish and advanced in English, with excellent communication skills and the ability to lead multiple projects. This role offers an opportunity to work closely with internal stakeholders to refine bid strategies and improve overall efficiency.

PURPOSE OF THE JOB :

The Bid & Tender Solutions Specialist is responsible for running the end‑to‑end bid and tender process, ensuring high‑quality proposals that align with business objectives. They work closely with internal stakeholders to gather necessary inputs, maintain compliance with bid requirements, and drive efficiency in tender submissions. They play a key role in improving bid strategies, optimising workflows, and ensuring the timely delivery of competitive proposals.

KEY RESPONSIBILITIES :
  • Support the business with the preparation of national and international PSAs, ensuring documentation and contracts and proposals are in line with group compliance and strategy. Review terms; consult and cooperate with legal departments as appropriate, including in risk assessment of existing PSA.
  • Coordinate the tender project management cycle, including the technical and administrative aspects of RFPs, tenders, and biddings.
  • Act as the first point of contact for screening of new requests, as well as for the complete delivery cycle of project proposals, collaboration across the team, the Regional Tender team, and national stakeholder, including the Key Account Management team to ensure accuracy in project proposal execution.
  • Facilitate and contribute to the development and execution of tender and proposal strategies.
  • Engage and collaborate with key senior stakeholders, aligning on strategies for tender success.
  • Analyse and interpret client relationship data in collaboration with team members, presenting insights for enhanced engagement on respective client relationship.
  • Review and ensure CRM and project tracking’s are up to date with newest data.
  • Assess and identify ways to optimise business opportunities within tendering, driving improvements in commercial performance.
  • Follow up on ongoing requests and PSA performance, leading projects to refine overall team performance and process efficiency.
PERSONAL PROFILE, KNOWLEDGE AND EXPERIENCE :
  • Native Polish & Advanced English are a must.
  • Excellent communication (oral and written) skills with different stakeholders, coupled with a great ability for active listening.
  • Ability to lead multiple tender projects while ensuring alignment with business objectives.
  • Experience practising a continuous improvement mindset to enhance bid processes and efficiency.
  • Being detail oriented is a basic skill for this role.
  • Time management: proactive, able to prioritise and manage own workload.
  • Reliable and with service ethics.
  • Team player with a flexible and confident approach to work.
  • Ability to negotiate effectively.
  • Ability to influence people, sell ideas and concepts and gain commitment.
  • Customer focused.
  • Good management of Office 365.
