Job description

Do you have a solid overview, sense of detail and the drive to manage paperwork and processes related to complex external funding of scientific projects? Moreover, is a short-term position (6 months) an attractive opportunity in your carreer path? If so, here is the opportunity to become an indispensable administrative supporter and advisor to our world-class scientists.

When joining the Novo Nordisk Foundation Biotechnology Institute for the Green Transition (BRIGHT), you will play a pivotal role in realizing projects and initiatives that help to promote human health and the sustainability of society and the planet.

Drive funding processes from pre grant strategies to post grant coordination

The Novo Nordisk Foundation has provided a basic funding of 1 billion DKK for the next 7 years. However, our strategy is to triple this amount via external funding. That’s why your role is so important and key to our success.

You will spend approx. 80% of your time with a focus on project funding and the rest on transversal administrative tasks. Regarding project funding, you will manage a number of parallel funding processes all the way from defining pre grant strategies to post grant work. This includes understanding requirements across scientific and financial reporting and partner coordination – and close collaboration with the scientists that you support as well as communication with project partners and funders.

Related to project funding, your primary tasks will be to:

  • Read grant guidance documents to understand the specific conditions of each project
  • Manage paperwork, coordination and progress of your projects
  • Plan project meetings, take minutes and consolidate progress reports
  • Maintain funding agency portals and project websites
  • Keep up to date on project budgets with additional reporting to the management team
  • Attend quarterly meetings with researchers and financial officers to remain up to date with budget conditions
  • Handle legal support and contract negotiation in collaboration with DTU’s Legal Department

Related to your transversal administrative tasks, you will:

  • Handle administrative tasks related to external scientists’ research stays at BRIGHT, e.g. NDAs
  • Handle paperwork regarding our many PhD students’ study stays abroad
  • Ensure that all documents are updated and archived correctly in our system; DTU DOCs
Good collaborator with solid overview and a master’s degree

If you bring lots of experience within high-level support and coordination, we promise that you will get the opportunity to unfold everything you can and grow additionally in the short period you are with us. If you bring less experience, we are ready to invest in your development.

Regardless of your background, you must bring a solid overview and a structured way of working since you will independently be managing multiple parallel tasks, processes and deadlines. As part of this, you must be able to read and understand complex guidelines from various funders that do things differently (in English).

Equally important are your collaboration skills as you will be both advisor to, coordinator for, and link between the scientists, the funders, colleagues at DTU’s central support departments and external partners. As part of a small team with big responsibility, you must also like to share knowledge, help your colleagues and contribute to maintaining our great team spirit.

Additionally, your CV comprises:

  • A Master’s degree that has provided you with a solid methodological understanding
  • Motivation for using Excel and other digital tools for data handling and administration
  • The ability to collaborate efficiently across professional and cultural borders
  • Good English skills spoken and written – English is our company language
  • The ability to understand Danish guidelines, instructions and the like
Your new team

You will join a small team of three supporters who work closely together and leverage each other's skills. You can also look forward to being part of a friendly and welcoming environment where the word "we" is far more important than "me". We are committed to high standards of service and professionalism, and we actively support your professional development through coaching, relevant education, task-specific courses, and more.

Salary and terms of employment

The appointment will be based on the collective agreement with the Danish Confederation of Professional Associations. The allowance will be agreed upon with the relevant union.
