Job summary

Boehringer Ingelheim is seeking a Management Assistant AH Nordics based in Copenhagen. You will provide confidential administrative and project support to the Nordic Animal Health leadership team, enabling efficient cross-country collaboration in a dynamic matrix environment.

This role offers hybrid work with occasional home-office, supports planning of meetings and events, and requires strong organizational and communication skills to coordinate complex priorities across the Nordic region.

Qualifications

  • Bachelor's degree or an equivalent professional qualification.
  • Experience in a Management Assistant, Executive Assistant, Project Coordinator, or similar role.
  • Fluency in English and at least one Scandinavian language (Danish preferred).
  • Experience supporting senior leaders and coordinating complex meetings, events, and projects.

Responsibilities

  • Provide executive support to the Head of Animal Health Nordics, including calendar management, meeting preparation, coordination of priorities, and follow-up on key actions.
  • Coordinate internal meetings and events, managing agendas, logistics, room bookings, and catering.
  • Plan external meetings, advisory boards, and business events, including travel, accommodation, venue coordination, and on-site support.
  • Manage purchase orders, supplier coordination, quotations, and related administrative processes.
  • Maintain SharePoint sites and document management systems with accurate information sharing and access control.
  • Serve as a key contact for stakeholders across the Nordic region and coordinate requests with timely follow-up.
  • Support business projects through planning, coordination, and administrative execution.
  • Provide backup support to other support functions as needed.

THE OPPORTUNITY

As our new Management Assistant AH Nordics, you will provide reliable, confidential, structured, and proactive administrative, organizational, and project support to the Nordic Animal Health leadership team and business functions. Acting as a trusted coordination partner, you will enable efficient collaboration across countries, functions, and stakeholder groups while ensuring smooth day-to-day operations in a dynamic matrix environment.

This role is based in Copenhagen and reports directly to Head of Animal Health Nordics, with flexibility to work from home from time to time, provided it is agreed with your manager and aligned with business needs.

YOUR KEY RESPONSIBILITIES:
  • Provide executive support to the Head of Animal Health Nordics, including calendar management, meeting preparation, coordination of priorities, and follow-up on key actions
  • Coordinate internal meetings and events, managing agendas, logistics, room bookings, and catering
  • Plan and facilitate external meetings, advisory boards, and business events, including travel, accommodation, venue coordination, participant communication, and on-site support, while ensuring compliance requirements.
  • Manage purchase orders, supplier coordination, quotations, and related administrative processes in line with company policies
  • Maintain SharePoint sites and document management systems, ensuring accurate information sharing, access control, and archiving
  • Serve as a key point of contact for internal and external stakeholders across the Nordic region, coordinating requests and ensuring timely follow-up
  • Support business projects through planning, coordination, and administration execution
  • Provide backup support to other support functions as needed
YOU BRING:
  • Bachelor's degree or an equivalent professional qualification preferred
  • Experience in a Management Assistant, Executive Assistant, Project Coordinator, or similar support role, preferably within an international organization
  • Fluency in English and in one of the Scandinavian language (Danish preferred)
  • Strong organizational, communication and shakeholder management skills
  • A proactive, reliable, and service-oriented mindset, with discretion in handling confidential information
  • Experience supporting senior leaders and coordinating complex meetings, events, and projects
  • Proficiency in AI, Ariba, Microsoft Office and collaboration tools such as SharePoint
