Novo Nordisk A/S in Klampenborg is seeking a Booking Lead to own the guest journey from the initial enquiry through to event delivery at Heritage Hvidøre, coordinating with hospitality colleagues, service partners and stakeholders to ensure a seamless experience for every meeting and event.

The role mainly follows Monday–Friday hours with occasional evenings for leadership meetings and high-profile events, demanding strong planning, relationship-building and a proactive, structured approach.

Qualifications

  • Experience within conference, hotel, event, hospitality, or booking operations.
  • Experience planning and coordinating high-profile meetings and events.
  • Experience with booking systems – Spectra highly preferred.
  • Strong communication and relationship-building skills.
  • Fluency in Danish and English.

We are looking for an experienced and service-minded Booking Lead to take ownership of the guest journey from the first enquiry through to the successful delivery of each event.

Your new role

As Booking Lead, you will be the primary owner of the booking experience at Heritage Hvidøre.

While this role is primarily performed during regular Monday-to-Friday business hours, occasional evening work may be required to support leadership meetings, executive events, and other high-profile guest activities.

You will ensure that every meeting and event is professionally planned, coordinated, and executed in close collaboration with hospitality colleagues, service partners, and stakeholders across Novo Nordisk.

Your main responsibilities will be:

  • Lead the end-to-end booking process for meetings and events, ensuring a seamless experience from the initial enquiry through to event delivery.
  • Act as a trusted advisor to stakeholders, recommending venue options and event solutions that meet their needs.
  • Optimise the use of meeting facilities while balancing guest expectations, operational priorities, and overall experience.
  • Serve as the main point of contact for event organisers and stakeholders, building strong relationships and ensuring smooth coordination.
  • Support the planning and delivery of leadership, executive, and other high-profile events.
  • Drive continuous improvements in booking and event planning processes by leveraging digital tools, data insights, and industry best practices.
  • Collaborate closely with hospitality operations and provide guidance to colleagues involved in planning and coordination activities to ensure consistent, high-quality delivery.

Based at Heritage Hvidøre, you will be part of a unique environment where hospitality, history, and professional meeting experiences come together. The venue welcomes colleagues and guests from Denmark and around the world for leadership events, workshops, meetings, and special occasions.

Your skills and qualifications

To succeed in this role, you combine strong coordination skills with a genuine passion for hospitality and stakeholder engagement. You enjoy creating seamless experiences, building trusted relationships, and finding smarter ways of working.

We imagine that you have:

  • Experience within conference, hotel, event, hospitality, or booking operations.
  • Proven experience planning and coordinating high-profile meetings, executive events, or other premium guest experiences where attention to detail is essential.
  • Experience working with booking systems – Spectra highly preferred, and other digital planning tools.
  • Strong stakeholder management, communication, and relationship-building skills.
  • A proactive and structured approach, with the ability to manage multiple priorities in a fast-paced environment.
  • Fluency in Danish and English, both written and spoken.

Salary and Benefits: The Annual Base Salary ranges from 437,600.00 to 643,200.00 DKK, corresponding to the level of the position. The placement within the salary range will be assessed during the recruitment process based on the candidate’s skills, competencies, knowledge, and relevant experience.
