The starting salary range is $32.00 - $34.00 per hour, non‑negotiable.
This position is housed in the Strategy, Development, & Organizational Advancement Division within the Learning and Brand Development unit. It works in the Academy for Professional Excellence, a project of San Diego State University Research Foundation.
Responsibilities
Purpose of the Position
Under the general direction of the Development Operations Supervisor, the Technical Administrative Coordinator supports processes across the service provider lifecycle by managing recruitment and onboarding, coordinating development and evaluations, and ensuring smooth transitions. The role collaborates closely with the Development Operations Coordinator and key division/program teams to enhance operational efficiency.
Specific Duties – 40 hours a week, hybrid with remote flexibility, typically M‑F 8:00–4:30, possible overnight travel and work outside normal hours.
Residency requirement: must live within a commute of the Riverside or San Diego office in California.
Note: Some duties involve sensitive/traumatic topics such as child abuse, abuse against adults, mental health, substance use, or racism.
- Service Provider Hiring, Development, and Separation Support (35%)
- Manage rolling recruitment and onboarding for multiple candidates simultaneously.
- Serve as the first point of contact for service providers, coordinating interviews and facilitating onboarding.
- Prepare applicant packages, support evaluation of qualifications, schedule initial observations, and participate in observations.
- Support internal recruitment to expand the service provider trainer pool.
- Develop and deliver training modules for technical platforms.
- Aggregate data from Qualtrics and coordinate performance evaluations.
- Assist the WMD Manager and Development Operations Supervisor with service provider transitions.
- Data Systems and Project Management Processes (40%)
- Optimize and maintain the applicant management system using Trello/Zoho.
- Maintain service provider profiles and personnel records in CRM systems.
- Collaborate with Fiscal/Contracts, Systems, and Program teams for continuous quality improvement.
- Serve as liaison with Fiscal/Contracts for classification and status changes.
- Collaborate with the Systems Team on tech platform configuration and support.
- Operational Support and Coordination (15%)
- Maintain an annual view of key WMD projects and activities, manage scheduling, and keep team members informed.
- Support planning and organizing of WMD‑led events and staff development activities.
- Participate in review of Facilitator Annual Survey data to inform recruitment.
- Process and set up class observations through the Zoho ticket system.
- Relational/Technical Writing and Communication (5%)
- Support team with copywriting, editing, and design of engagement materials.
- Gather and synthesize information to draft communications via MailChimp.
- Monitor team communication topics and draft updates for the Hub.
- Create and maintain policies and procedures.
- Other Duties (5%)
- Perform other duties as assigned in the best interests of the Academy.
- Travel to off‑site locations for Academy and Program meetings.
Qualifications
Minimum Education
- Equivalent to a bachelor’s degree or equivalent training and administrative experience in policy, procedures, or program improvement.
Minimum Experience
- 3 years of progressively responsible experience in an office or administrative environment.
Preferred Qualifications
- Minimum 2 years experience in health and human services or related field.
- Minimum 2 years using project management tools and technical platforms.
- Experience with recruitment and onboarding processes.
- Experience with Access Planit, CACWT, Qualtrics, and Zoho solutions.
- Tech‑savvy and comfortable learning new software tools.
