Job summary

voize is building AI companions to liberate frontline workers from busywork, enabling care and connection.

The Special Projects Manager in the CEO Office owns a key platform launch, coordinating dependencies, decisions, and readiness across product, build, pilots, and commercial aspects. Based in Berlin, you will work with our founders to ensure on-time delivery and smooth customer switchovers.

Qualifications

• 3+ years managing complex, multi-stakeholder software projects.
• Owned cross-functional projects end to end.
• Structured thinking and clear writing to turn ambiguity into a plan.
• Ability to drive senior stakeholders to decisions without formal authority.
• Execution bias, low ego, and handling confidential information.
• German and English at C1+, based in Berlin, 3–4 days on-site.

Responsibilities

• Run the project operating system: the hub, task tracking, open-questions log, weekly sync and Friday update that keep every team aligned.
• Own the integrated plan across product and build, go-live, customers and pilots, commercial model, announcements, enablement, legal and privacy.
• Chase decisions by turning open questions into one-page decision briefs, getting them decided by the right person on time, and escalating risks early with clear options.
• Drive readiness across Sales, Customer Success, Support, Training and Solution Engineering with playbooks, briefings and the public launch runbook.
• Coordinate pilot customers and advisors with our founders and, from 2027, plan facility rollouts so rollouts run smoothly without founder involvement.

Your Mission: Launch our next-generation platform, on time and without surprises

As Special Projects Manager in the CEO Office, you own one of our most important projects end to end, so that the new platform launches on time, customers switch safely and no team is surprised. You hold the plan, the dependencies, the decisions and the readiness of every team, working closely with our founders. Once the launch is on track, you take on the next special project out of the CEO Office.

Your Daily Business - No two days are alike

Your Skillset - What you bring to the table

• 3+ years running complex, multi-stakeholder software projects in a high-standards environment, such as top-tier consulting or a PMO or BizOps role at a scale-up

• Have owned cross-functional projects end to end

• Structured thinking and writing: you turn ambiguity into a plan, a decision brief or a one-page update - and AI plays a key part in your day to day work

• You drive senior stakeholders, from founders to engineers to customer decision makers, to decisions without formal authority, and you know when to escape

• Execution bias, low ego and discretion: you do the unglamorous work and handle highly confidential information with care

• German and English at C1+, based in Berlin 3-4 days on-site, and willing to travel to customer facilities across Germany
