Job summary

Neural Frames GmbH, a Berlin-based AI music video startup, seeks an operations and finance professional to own our financial, HR, and office workflows. You’ll be the go-to for tax firm communications, payroll setup, contract management, and vendor oversight, partnering with our founder and external accountants.

You’ll lead monthly closings, assemble the numbers pack, manage HRIS like Personio, and ensure compliant, tidy operations day-to-day.

Qualifications

• 3–6 years of experience in operations, finance operations or people operations at a small, fast-growing company.
• Experience owning relationship with external tax firm and payroll provider.
• Hands-on with Stripe or comparable system; DATEV experience is a strong plus.
• Familiar with Personio or a similar HRIS and German employment administration.
• Able to tidy processes, close loops reliably, and manage attention to detail.
• Able to make small decisions independently and brief the founder only on critical items.
• Clear communication in German and English.
• Based in Berlin and able to work in the office at least four days per week.

• Handle booking, budgeting and logistics for team events and annual offsite.

Neural Frames is a leading AI music video generator, turning any song into a fully produced music video in minutes. We're bootstrapped, profitable, and generating more than $7M in annualized revenue. Our ambition is to build a category-defining company that helps tens of millions of audio creators visualize and promote their work.

We've got here with a small team and very little overhead. Now we're growing quickly, and the operational side of the company - finance, people admin, tooling, office, contracts - run through the founder and Founders Associate. We're looking for the person who takes that over and makes it quietly reliable.

This is a hands-on role. You'll be the one the tax firm calls, the one who makes sure a new hire is on payroll and has a laptop and every tool on day one, the one who knows when every contract and insurance renews, and the one who fixes reconciliation mess instead of filing a ticket about it. You'll work directly with the founder, alongside our Founder's Associate and with our external accountants and virtual assistant.

Tasks

• Own finance operations: be the point of contact for our tax firm and payroll provider, run the monthly close inputs, keep Stripe invoicing, refunds and credit notes clean and reconciled, and resolve open questions before they reach the founder

• Assemble a monthly numbers pack - revenue, cash, margin, cloud costs, payroll, headcount - from Stripe, the accountants and our internal data

• Own people administration: contracts, probation periods, holidays, absence and time tracking, documents and compliance. Be the person the team asks about payslips, holiday balances and contract

• Manage our virtual assistant and the work we outsource

• Own tool access, equipment and IT: accounts, licences, laptops, security basics, and the day-one setup for every new hire from the onboarding checklist

• Own the office: lease, supplies, equipment, access, the practical things that make the place work

• Track every recurring vendor, contract, insurance and compliance obligation in one place so nothing depends on somebody remembering it

• Handle the booking, budget and logistics behind team events and the annual offsite

Requirements

• You have 3–6 years of experience in operations, finance operations or people operations at a small, fast-growing company, and have been the person who kept it running

• You have personally owned the relationship with an external tax firm and payroll provider, including monthly close and the questions that come with it

• You are hands-on with Stripe or a comparable payment system and understand invoices, refunds, credit notes and reconciliation; DATEV experience is a strong plus

• You are familiar with Personio or a similar HRIS and know German employment administration

• You make things tidy without being asked, close loops reliably, and are slightly allergic to loose ends

• You are comfortable making small decisions on your own and bringing the founder only the ones that need him

• You communicate clearly in German and English

• You are based in Berlin and can join us in the office at least four days per week

Bonus points

• Experience in consumer subscription or SaaS, especially with Stripe at volume and international VAT

• Google Workspace, Notion, Slack, and Linear administration

• You have worked in both a structured company and a scrappy startup and know what is worth copying from each

How we measure success

Within your first month, you’ve audited all recurring finance, admin, and tooling tasks currently handled by the founder, agreed on clear ownership of what you’ll take over, established yourself as the main point of contact for our tax firm, and mapped every vendor, contract, and compliance deadline.

Within 90 days, finance operations, people admin, tool access, and office management run smoothly without input from the founder or Founder's Associate. The founder has received the monthly financial numbers pack twice without having to put it together himself. Our Founder's Associate can hand you a new hire, and you'll have them on payroll, fully equipped, and ready to go within a day.

Within a year, a new hire can be contracted, paid, equipped, and fully onboarded into our systems without any involvement from the founder. No contract renewal or compliance deadline has been missed, and the company has scaled significantly without operational processes becoming a bottleneck.
