Proposal & Project Manager
As Proposal & Project Manager , you own proposal writing for Infinite Orbits Germany’s bids and funding applications, and lead project delivery once contracts are won. Alongside this, you also support internal projects and financial calculations, contributing planning, costing, and delivery structure beyond customer-facing work. As a founding hire, you’re not just executing proposals and projects — you’re building the operating backbone that lets the German entity scale.
Proposal writing ownership: Author and structure non-technical proposal content (schedules, work breakdown structures, project plans, commercial framing) for RFI/RFP responses, customer proposals, and funding applications, working closely with the Engineering Team on technical input.
Project management: Own project planning, scheduling, budget tracking, and risk/issue management for won contracts, from kickoff through delivery.
Internal project support: Contribute planning and delivery structure to internal projects; support financial calculations and cost modeling for proposals, internal projects, and business cases.
PMO support across the Group: Support PMO activities and best-practice alignment across Infinite Orbits’ sister companies, contributing to standardized project management tools, templates, and reporting processes.
Subcontractor support: Manage the contractual, scheduling, and reporting relationship with subcontractors and external partners on German projects, working alongside the Engineering Team on technical oversight.
Stakeholder reporting: Prepare project status reports and delivery updates for internal leadership and customer-facing stakeholders.
Process build-out: Establish project management templates, tools, and reporting processes for the German entity as it scales.
Degree in engineering, business administration, or a related field, or equivalent experience.
3+ years of experience in project management, ideally including proposal writing.
Experience with PMO processes or standardization across multiple business units or entities is a plus.
Skills & Other Requirements
Strong project management fundamentals — scheduling, budgeting, risk management, and reporting.
Experience with financial and cost calculations supporting proposals and internal projects.
Autonomy and ownership — able to build project management structure and processes from scratch.
Fluent in German and English.
Frequent travel required - within Germany and to Infinite Orbits’ HQ in Toulouse and other European locations.
A founding role with direct ownership of proposals, project delivery, and financial planning in a growing European space and defense company.
Direct exposure to senior stakeholders across customer, partner, and Group-wide project environments.
